Purpose and Key Objectives
The HR Assistant is responsible for providing efficient and professional administrative support to the HR function, ensuring accurate maintenance of employee records, compliance documentation, recruitment activity, training records and HR processes and databases, and ensuring compliance with data protection regulations. The role will support the HR advisor in delivering a high – quality service to employees and managers across the business.
Key Responsibilities
Recruitment \& Onboarding
- Assist with recruitment administration, including advertising vacancies and arranging interviews.
- Prepare offer letters, contracts of employment and new starter documentation.
- Coordinate pre\-employment checks, references and right\-to\-work verification.
- Support employee induction and onboarding processes.
- Maintain employee personnel files and HR systems.
- Ensure employee records are accurate and GDPR compliant.
- Process changes relating to salary, benefits, promotions and contractual variations.
- Produce standard HR correspondence.
- Provide first\-line support for employee HR queries.
- Support absence management processes.
- Maintain probation review schedules.
- Assist with appraisals and performance review administration.
- Administrating all processes and paperwork associated with the employee lifecycle including employment changes and leavers.
- Track employee anniversaries and recognition activities.
- Providing timely, accurate advice on people, polices and procedures escalating to HR advisor as appropriate
- Coordinate internal and external training bookings.
- Administering DBS, BPSS and prison clearance checks, ensuring accurate records are maintained in line with relevant procedures and requirements.
- Maintain training records within HR systems
- Monitor expiry dates for certifications and qualifications.
- Support HR compliance activities and audits.
- Maintain right\-to\-work, visa and employment documentation.
- Assist with policy updates and distribution.
- Ensure mandatory training requirements are monitored.
- Prepare monthly payroll information including starters, leavers and contractual changes.
- Liaise with payroll providers to ensure accurate processing.
- Produce HR reports and KPI information.
- Monitor headcount, absence and training statistics.
- Assist in preparing management information for leadership meetings.
Essential
· Previous experience in a similar HR role is essential.
- Strong attention to detail and organisational skills.
· Proficient in Microsoft office, particularly Excel, word and outlook
· Ability to handle confidential information professionally
· Strong accuracy and data entry skills.
Desirable
· CIPD qualification or working towards
· Experience using HR systems
· Knowledge of UK employment legislation.
· Experience within engineering, construction or facilities management sectors

Knowledge
· Understanding of the application of GDPR within a HR function.
· A basic understanding of employment legislation is desirable.
