Job Summary
We are looking for an HR Administrator to join our dynamic team and be the vital link that keeps our HR operations running smoothly. In this role, you will manage a variety of HR functions, ensuring accurate data entry, effective communication, and seamless administration. Your proactive approach will support our HR team in delivering exceptional service to employees and candidates alike, building a positive and efficient workplace environment.
Duties
- Provide a timely response to routine HR queries and requests via email, telephone, and in person, escalating where needed.
- Prepare HR documentation, including employment contracts, offer letters and standard correspondence
- Compile and maintain accurate personnel files and employee records including the Single Central Register, in accordance with regulatory requirements
- Support recruitment processes, posting job adverts, arranging recruitment interviews, contacting candidates, obtaining references, sending out job offers, employment contracts and joining paperwork
- Process DBS applications for new staff, existing staff, governors, contractors and volunteers as required
- Ensure records are accurate by entering data onto CIPHR and SIMS, including new joiners, leavers, employment changes, absence records and updates to personal details
- Track and monitor probation reviews and appraisal performance cycles to ensure compliance across all departments, issuing reminders, follow up with line managers and securely log completed probationary and appraisal forms
- Update job descriptions, staff information resources and other documents
- Produce data reports from CIPHR and other sources to assist with drafting HR reports and updates for all staff communications and regular/ad\-hoc requests
- Monitor the exit process for staff leaving including exit interviews
- Attend meetings as required, taking notes and typing up and distributing minutes
- Minimum Maths and English at GCSE/O Level, Grade B or equivalent
- Experience in HR Administration or similar administrative role
- Good IT skills particularly in the use of Microsoft Word and Excel
- Excellent communication and interpersonal skills, proven tact and diplomacy
- Good organisation and time\-management skills
- Be able to prioritise and work effectively under pressure
- Ability to work with a high level of confidentiality and discretion
