HR Admin Assistant
An opportunity has arisen for an experienced HR Admin Assistant to join our HR Administration team. Reporting to the HR Manager and working closely with the HR wider team, the successful candidate will provide comprehensive administrative support across the employee lifecycle, including recruitment, onboarding and contractual administration.
The postholder will act as a first point of contact for routine HR administration, provide a professional and confidential service to employees and managers, and escalate employee relations or legal matters to the HR Manager or HR Officer as appropriate.
Key Responsibilities
- Administer holiday and absence records, ensuring requests and supporting information are accurately recorded and processed in line with Company procedures.
- Monitor sickness absence records, identify missing information and prepare accurate absence data for review by the HR Manager or HR Officer.
- Provide administrative support throughout recruitment and selection, including preparing job descriptions and adverts, coordinating shortlisting documentation, arranging interviews and communicating with candidates.
- Coordinate the Company induction process in line with agreed start dates, ensuring that relevant departments receive accurate and timely new starter information.
- Collate and verify all required new starter documentation and conduct right\-to\-work checks in accordance with current legislation and Company procedures, escalating any concerns promptly.
- Prepare contractual documentation relating to new appointments, changes to terms and conditions, and termination of employment, using approved templates and obtaining the required authorisation before issue.
- Monitor the HR Admin and Careers mailboxes, respond to routine enquiries within agreed timescales, maintain accurate records and escalate matters requiring HR advice.
- Maintain accurate and up\-to\-date employee records across manual and electronic HR systems, carry out regular data\-quality checks, ensure consistency between systems, and handle personal data in accordance with GDPR and Company procedures.
- Administer employee benefits, including healthcare and the Employee Assistance Programme, processing enrolments, changes and leavers accurately and within required timescales.
- Provide administrative support for HR projects and cyclical activities, including appraisals, recruitment, onboarding, training and Investors in People surveys, by maintaining records, coordinating communications and tracking agreed actions.
Skills \& Experience
- Previous experience as an HR Administrator
- Awareness of Employment Law/ACAS Codes of Practice
- Effective HR administration skills
- Full understanding of HR functions and best practice
- Awareness of GDPR requirements
- Excellent written and verbal communication skills
- Works well under pressure and maintains high level of confidentiality
- Highly computer literate with capability in email, MS Office, and related HRIS (COINS), business and communication tools
- Able to work on own initiative and make decisions as appropriate to the role
- Knowledge of PeopleHR would be beneficial
