HMO Lettings and Property Manager
Role summary
The Lettings and Property Manager is responsible for the day\-to\-day lettings and management of this single 71\-room student HMO and other house shares, ensuring high occupancy through the academic\-year cycle, full legal compliance, and excellent tenant relations. The role requires strong organisational and tenant\-facing skills, a thorough understanding of HMO regulation, and comfort working with a largely student and international\-student tenant base.
The ideal candidate is a target\-driven property professional capable of running lettings operations for a single large\-scale asset while ensuring compliance with all legal and regulatory requirements.
Key responsibilities
1\. Lettings operations and occupancy management
- Oversee the full lettings cycle from marketing and listing through to tenancy agreements and move\-in, aligned to the academic year.
- Market rooms through Rightmove, Gumtree, SpareRoom, OpenRent, university accommodation portals, international student agents, and digital channels (Facebook, Instagram).
- Manage listing performance, optimise advert content, and monitor enquiry and response rates.
- Ensure all tenant enquiries and applications are processed efficiently, including from international and overseas\-based applicants.
- Handle tenancy renewals, terminations, and deposit disputes for the building.
- Maintain occupancy of at least 90%, with particular attention to the September/October intake and minimising voids between academic years.
- Respond to tenant enquiries via phone, email, and in person at the property.
- Conduct viewings and show\-rounds to prospective tenants and their families/agents.
- Follow up with prospective tenants to secure bookings and finalise agreements and the move\-in process.
- Draft and process tenancy agreements, ensuring compliance with HMO regulations.
- Conduct Right to Rent checks, including for international and visa\-holding students, verifying tenant documentation.
- Ensure all deposits are collected and registered with a government\-approved Deposit Protection Scheme (DPS).
- Maintain accurate tenancy records in Concurrent CRM, ALTO and internal databases.
- Process council tax exemptions for student tenants.
- Report regularly to the Branch Manager on occupancy and rental performance.
- Develop strategies to increase occupancy and minimise void periods, particularly around semester changeover.
- Provide senior management with rental performance updates and market insight for the Manchester student market.
- Identify opportunities to improve tenant retention (re\-booking returning students) and the overall performance of the building.
- Work with the PayProp Administrator to ensure rent collection is timely and accurate.
- Monitor arrears and implement strategies for rent recovery, including liaison with guarantors where applicable.
- Assist in setting room\-pricing strategy based on room type, demand, and competitor purpose\-built student accommodation in Manchester.
- Oversee marketing of available rooms on Rightmove, Zoopla, and OnTheMarket, alongside student\-specific channels.
- Work with the marketing team on digital campaigns for both UK and international student acquisition.
- Build relationships with university accommodation offices and international student recruitment agents to support the pipeline into Ashton House.
- Utilise social media and SEO strategies to increase engagement and lead generation for the property.
- Act as the first point of contact for tenant issues, including escalated complaints.
- Coordinate with on\-site maintenance and security contractors (including the 24/7 CCTV and parcel service) to ensure issues are resolved promptly.
- Work with the Branch Manager to resolve disputes and ensure high tenant satisfaction.
- 5\+ years of experience in HMO lettings, property management, or estate agency.
- Experience managing a large\-scale or purpose\-built shared/student accommodation building is an advantage.
- Strong knowledge of HMO compliance, licensing, and safety standards.
- Proven experience achieving lettings targets.
- Proficiency in Concurrent CRM, PayProp, and property listing platforms.
- Strong negotiation, problem\-solving, and decision\-making skills.
- Ability to manage financial performance, arrears, and tenancy agreements.
- Target\-driven and results\-focused.
- Strong communication skills, comfortable working with a diverse, largely student and international tenant base.
- Highly organised and proactive.
- Ability to work in a fast\-paced environment under pressure, including peak intake periods.
- Strong understanding of building maintenance coordination.

- Tenants and prospective renters – handling enquiries and ensuring smooth move\-ins, including for international students.
- University accommodation offices and international student agents – supporting the lettings pipeline.
- Council and compliance inspectors – managing legal requirements and safety checks.
- Occupancy rate: maintain at least 90% occupancy.
- Lettings conversion rate: achieve a high percentage of enquiries converted to signed tenancies.
- Revenue: maximise rental income from the building while reducing void periods, particularly at semester changeover.
- Compliance accuracy: maintain full adherence to tenancy and HMO regulations.
- Tenant satisfaction: ensure positive feedback from residents.
