Role: Funding and Finance Manager

Employment Type: Part\-Time (15 hours per week)

Location: Hybrid (Home\-Based, with some travel to premises in Pocklington for meetings)

As we continue to grow and respond to local need, securing sustainable funding and maintaining strong financial management are vital to our success.

We are seeking a highly skilled Funding and Finance Manager to lead YPC's funding and compliance strategy and oversee financial management and planning activities; ensuring transparency, accountability, and sustainability across all financial and grant\-related activities. This role combines grant management, financial administration, and organisational compliance to support YPC’s strategic objectives and safeguarding responsibilities.

The successful candidate will play a pivotal role in ensuring the financial health and stability of the organisation by managing budgets, financial reporting, and funding strategies. This role offers an exciting opportunity for a professional with strong leadership qualities and expertise in grant funding and financial management to contribute to the future success of youth services in the local community.

Responsibilities

  • Lead YPC’s funding strategy — identifying, securing, and managing grants and funding opportunities aligned with YPC’s priorities.

  • Maintain a live Funding Tracker of potential and active bids.

  • Keep an up\-to\-date list of primary funders and reliable sources for new funding opportunities (e.g., local authority portals, national grant databases, corporate CSR schemes).

  • Propose funding opportunities to the Board of Trustees that support YPC’s strategic aims

  • Analyse funder priorities and trends to inform targeted applications.
Bid Development and Submission
  • Lead the development of Expressions of Interest and full grant applications.

  • Coordinate input from youth workers and other stakeholders.

  • Ensure bids are evidence\-based, outcome\-focused, and compliant with funder criteria.

  • Present final bids for Trustee approval before submission.
Post\-Award Management
  • Review grant agreements and reporting requirements.

  • Record on internal systems for monitoring delivery, spend, and outcomes.

  • Support the team to meet funder conditions and deadlines.

  • Prepare progress and impact reports for funders and Trustees.
Financial Management and Record Keeping
  • Maintain and reconcile all grant\-related income and expenditure in Xero (or equivalent accounting system).

  • Ensure invoices, bills, and receipts are processed promptly and coded correctly.

  • Work with the Treasurer to produce monthly grant expenditure reports.

  • Track payment schedules and ensure compliance with funder financial terms.

  • Provide Trustees with monthly summaries of grant income, spend, and forecasts.

  • Manage bills and invoices, processing all transactions accurately through Xero.

  • Keep accounts updated (preferably weekly) to maintain transparency and financial accuracy.

  • Reconcile financial transactions and submit monthly financial reports to the Treasurer for approval.

  • Work with Trustees to ensure all financial reporting meets audit and compliance standards.

  • Prepare and submit annual financial accounts to the Treasurer for approval, and accountant for audit.
Governance and Compliance
  • Ensure all funding activity aligns with YPC policies, safeguarding, and data protection standards.

  • Maintain transparent records on the shared drive for audit and succession planning.

  • Work with Trustees to review funding risks and opportunities.

  • Maintain a detailed spreadsheet of all YPC insurances and licences, including: Type and coverage; renewal dates; costs; and responsible contacts.

  • Notify Trustees a minimum of eight weeks in advance of any renewal deadlines.

  • Ensure all documentation is stored securely on the shared drive for transparency and succession planning.

  • Attend monthly Board meetings to advise the Trustees on financial matters.
Collaboration and Capacity Building
  • Provide training and guidance to staff on bid writing and funder expectations.

  • Support the induction of Youth Workers, ensuring they understand how to report on grants received and meet funder expectations.

  • Share learning from successful and unsuccessful bids to improve future applications.

  • Contribute to strategic planning and income diversification discussions.

  • Support Youth Workers as directed and needed to the successful operation of YPC.

  • Work collaboratively with staff and Trustees to ensure all funding and compliance processes are transparent and auditable.
Required skills and experience:
  • Proven experience securing funding from trusts, foundations, local authorities, and charitable grant\-makers.

  • Experience researching and identifying suitable funding opportunities.

  • Writing successful funding applications and bids.

  • Managing funder relationships and reporting requirements.

  • Experience preparing and monitoring budgets.

  • Cash flow forecasting.

  • Producing management accounts and financial reports for trustees.

  • Understanding of restricted and unrestricted funds.

  • Monitoring project expenditure against grant budgets.
Desirable
  • Understanding of charity compliance and Charity Commission requirements.

  • Experience supporting annual accounts and audits

  • Experience using Xero or similar accounting systems

  • Familiarity with funders supporting children, young people, education, wellbeing, or community projects.
