Overview

The Finance \& Payroll Administrator is responsible for providing accurate and efficient financial and payroll administration support across the organisation. The role involves maintaining financial records, processing invoices and payments, assisting with reconciliations, and ensuring employees are paid accurately and on time.

The position requires strong attention to detail, confidentiality, and the ability to manage competing deadlines. The Finance \& Payroll Administrator will work closely with employees, managers, external suppliers, and relevant financial and payroll providers to resolve queries and ensure compliance with company policies and statutory requirements.

Key Responsibilities

  • Process monthly payroll information accurately and submit all relevant details to the external payroll provider.

  • Manage the administration of new starters, leavers, and employee pay\-related amendments.

  • Process monthly employee holiday pay, bonuses, deductions, and other payroll adjustments.

  • Ensure compliance with workplace pension automatic enrolment requirements and related legislation.

  • Process invoices, payments, and other financial transactions in a timely and accurate manner.

  • Maintain accurate and up\-to\-date records of invoices, receipts, payments, and other financial documentation.

  • Manage residents’ cash allowances, company petty cash, and expenditure relating to residents’ outings and activities.

  • Monitor and reconcile residents’ monthly payments and process residents’ invoices and refunds as required.

  • Prepare and submit bookkeeping documentation and supporting records to the external accountancy provider.

  • Assist with the preparation of financial statements, management information, and financial reports.

  • Provide general administrative support as required, including scanning, filing, document management, and other ad hoc administrative duties.

You will have:

  • Strong communication and interpersonal skills, with the ability to liaise confidently with colleagues across all areas of the organisation.

  • Good working knowledge of Microsoft Office, particularly Microsoft Excel.

  • Excellent organisational skills, with the ability to manage your own workload, prioritise tasks, and meet deadlines.

  • The ability to work effectively as part of a team and manage competing priorities, including working to tight deadlines when required.

  • The confidence to identify, challenge, and address issues where financial policies, procedures, or controls are not being followed.

  • An understanding of employee benefits and relevant compliance processes.

  • Strong attention to detail and a high level of accuracy.

  • Excellent problem\-solving, planning, and time\-management skills.

  • A professional, discreet, and trustworthy approach when handling confidential financial and employee information.
Desirable, but Not Essential
  • A degree, qualification, or relevant coursework in Finance, Accounting, Business, or a related subject.

  • Previous experience working in payroll, bookkeeping, finance administration, or accounting.

  • Experience working with external payroll or accountancy providers.

  • Experience handling cash, invoices, payments, or financial records.
