We are seeking a motivated, organised, and detail\-oriented Finance Assistant to join our growing finance team in Livingston.
This is an excellent opportunity for an experienced finance professional with a strong background in bookkeeping and transactional finance who is looking to further develop their career. Working closely with the Finance Manager, you will play a key role in supporting month\-end processes, maintaining accurate financial records, and ensuring the smooth day\-to\-day operation of the finance function.
You will be responsible for helping to ensure financial data is accurate, accounts are reconciled effectively, and reporting requirements are delivered to a high standard.
Key Responsibilities
Sales Ledger
· Generate customer invoices using our bespoke system and post them into Sage, ensuring accurate nominal ledger coding.
· Set up and maintain new customer accounts in Sage.
· Manage credit control activities and assist with weekly debtor reporting.
· Monitor outstanding balances and support timely debt collection.
Purchase Ledger
· Process supplier invoices against purchase orders within the bespoke system and post them into Sage, ensuring correct nominal ledger coding.
· Reconcile supplier statements against Sage records.
· Investigate and resolve supplier account discrepancies.
· Prepare and process supplier payment runs.
Banking \& Financial Support
· Support daily banking activities and cashflow forecasting.
· Manage and resolve invoice queries with customers, suppliers, and internal stakeholders.
· Assist with the preparation of quarterly VAT returns and Postponed VAT Accounting (PVA) records.
· Support balance sheet reconciliations and monthly financial controls.
· Assist the Finance Manager with month\-end reporting and year\-end account preparation.
· Monitor and report on agreed KPIs.
· Provide general administrative and ad hoc support as required.
What We're Looking For
· Previous experience in a Finance Assistant, Accounts Receivable, Sales Ledger, or similar finance role.
· Experience using Sage or comparable accounting software.
· Strong bookkeeping and reconciliation skills.
· Excellent attention to detail and a high level of accuracy.
· Strong organisational and time management abilities.
· A confident communicator, capable of building positive relationships with colleagues, customers, and suppliers.
· The ability to work independently, manage multiple priorities, and meet deadlines.
· A proactive approach with a willingness to learn and contribute to continuous improvement.
