About Dental Smiles
Dental Smiles is an established multi\-practice dental business looking for an experienced Finance \& Accounts Manager to join our team.
We are recruiting to replace a highly experienced and long\-standing member of our team who has managed our bookkeeping, accounts, payroll support and central financial administration for many years.
This is an important and trusted role within the business. You will take primary responsibility for our day\-to\-day bookkeeping, accounts administration, payroll preparation, banking and management information.
You will work closely with our three Directors, external accountants, Practice Managers and existing Practice Administrator.
The position is based at our Takeley practice, with occasional visits to our other two practice in Chelmsford and Colchester
Key ResponsibilitiesFinance \& Bookkeeping – Primary Responsibility
- Maintain accurate bookkeeping records using Xero.
- Process and upload business invoices.
- Complete bank reconciliations.
- Check supplier statements and ensure invoices have been received and correctly recorded.
- Identify and chase outstanding credits and resolve discrepancies.
- Reconcile petty cash.
- Reconcile card payments against practice takings.
- Maintain relevant patient standing\-order and finance\-payment records.
- Check and appropriately allocate laboratory bills.
- Maintain Tabeo payment records.
- Prepare monthly financial and payment information for our accountants.
- Liaise regularly with our accountants and resolve bookkeeping queries.
- Check staff hours, holiday and sickness information for payroll purposes.
- Compile monthly payroll information for our accountants.
- Check completed payroll for accuracy.
- Compile dentist payments.
- Set up staff and dentist payments.
- Make PAYE/HMRC and other business payments.
- Liaise with Practice Managers and accountants regarding payroll queries.
- Undertake internet banking and business payments.
- Maintain banking records and spreadsheets.
- Manage Amex administration and ensure payments are arranged on time.
- Assist with cash banking arrangements.
- Provide financial information required for regulatory and business purposes.
- Support insurance, utility and other financial renewals where appropriate.
- Provide financial information to the Directors and accountants as required.
- Produce agreed monthly KPI and management reports.
- Prepare financial information for Directors' meetings.
- Maintain consistent financial and performance information across the practices.
- Maintain historical information so that performance and trends can be reviewed.
- Highlight significant financial discrepancies, changes or anomalies to the Directors.
You will also work collaboratively with our Practice Administrator and Practice Managers on relevant central administrative functions, including:
- Maintaining holiday and sickness records.
- Preparing pay\-rise and other pay\-related correspondence.
- Working with Practice Managers to ensure relevant staff and payroll information is kept up to date.
- Assisting with Directors' meeting agendas, papers and agreed actions.
- Business correspondence.
- Central office and invoice email administration.
- Business surveys and questionnaires.
- Ordering and researching products and services.
- Insurance, utilities and relevant compliance administration.
- Liaising with suppliers and external contractors where appropriate.
- Supporting administrative projects and operational matters affecting the practices.
About You
We are looking for someone who is:
- Experienced in bookkeeping and accounts administration.
- Confident and experienced using Xero.
- Experienced in payroll administration.
- Highly competent with Excel and spreadsheets.
- Numerate, accurate and highly detail\-orientated.
- Exceptionally well organised.
- Comfortable handling confidential financial information.
- Able to work independently and take ownership of responsibilities.
- Confident communicating with Directors, Practice Managers, accountants and external organisations.
- Reliable and capable of maintaining established financial systems while identifying where processes could be improved.

This is a permanent, employed, office\-based position working:
3 days per week
8:30am–5:30pm
One\-hour unpaid lunch break
8 paid hours per day / 24 hours per week
Hourly rate: £19\.50
Gross annual salary: £24,336

We are aiming for a late November/early December start to allow a structured handover with the long\-standing member of our team who currently manages these responsibilities.
