We are currently working in partnership with a higher education provider, who are recruiting for an Executive Personal Assistant within School Operations on a 12-week contract with potential for extension. The rate of pay is between £26.92 - £30.47 via an umbrella company. The position is based in Birmingham and offers hybrid working with up to 2 days per week working from home.

The ideal candidate will have experience in an executive assistant or senior administrative role, including complex diary and office management

Duties will include:

  • Managing a comprehensive and dynamic diary, balancing competing priorities and proactively advising on deadlines and key events

  • Developing and maintaining effective administrative, record-keeping and information-management systems

  • Coordinating meetings, preparing agendas and briefing materials, circulating papers, producing accurate minutes and monitoring follow-up actions

  • Prioritising and responding to internal and external communications, including emails, letters and telephone calls

  • Liaising with senior officers, academic and administrative departments, and external organisations to ensure effective communication

  • Supporting governance and committee activity, including confidential records, reports, queries and full committee administration

  • Producing reports, letters, papers, presentations and correspondence on own initiative

  • Supporting external visits, events and ad hoc projects, including research, collation and presentation of information

Experience required:
  • Significant demonstrable experience of managing an office and maintaining electronic and paper-based filing systems

  • Experience of working in higher education and servicing committees would be advantageous

  • Advanced Microsoft Word, Excel and PowerPoint skills

  • The ability to produce accurate, timely minutes and action records

  • Sound understanding of information governance and the ability to handle sensitive information with discretion and confidentiality

  • Significant prior experience of executive assistant or senior administrative roles including complex diary management

Working hours:
  • 37.5 hours, Mon-Fri, 9am-5pm

  • Hybrid working, with up 2 days working from home
