As the business continues to grow, we are looking for an exceptional Executive Assistant to the CEO to provide high\-level executive, personal and business support across his portfolio of companies.
This is a position of significant trust, responsibility and autonomy. The successful candidate will work closely with the CEO as a trusted extension of him, helping him operate effectively across multiple businesses, priorities and stakeholders. You will need to anticipate requirements, exercise sound judgement, protect executive time and progress matters independently without constant direction.
The Role
The Executive Assistant will provide comprehensive support to the CEO, helping manage competing priorities, information, stakeholders and commitments across a diverse and growing group of businesses.
The primary focus is executive support: protecting the CEO’s time, managing priorities, coordinating information, preparing for meetings and decisions, progressing actions and acting with appropriate delegated authority.
Success will be measured by how effectively the role increases the CEO’s capacity, maintains momentum and enables him to focus on the areas where his involvement adds the greatest value.
Key Responsibilities
Executive Support to the CEO
- Act as the CEO’s principal Executive Assistant and trusted point of support.
- Develop a strong understanding of his priorities, working style and objectives to anticipate needs and act proactively.
- Manage a complex diary across multiple businesses, balancing strategic, operational and external priorities.
- Exercise judgement over meeting requests, diary conflicts and demands on the CEO’s time.
- Act as a key point of contact for directors, senior leaders, clients, suppliers, advisers and other stakeholders.
- Manage incoming information and requests, deciding what requires the CEO’s attention, what can be delegated and what can be progressed independently.
- Ensure the CEO is fully prepared for meetings, decisions, appointments and key conversations.
- Prepare agendas, briefing notes, reports, presentations and other executive materials.
- Attend selected meetings, capture key decisions and actions, and follow through to completion.
- Draft correspondence and communications on behalf of the CEO.
- Coordinate information across the businesses to provide clear and timely updates.
- Highlight key issues, risks, outstanding decisions and conflicting priorities.
- Carry out research to support meetings, decision\-making and new initiatives.
- Maintain strict confidentiality at all times.
A central part of this role is the ability to operate independently rather than wait for instruction.
You will be expected to:
- Make informed day\-to\-day decisions on behalf of the CEO within agreed parameters.
- Prioritise requests based on urgency, business importance and the CEO’s objectives.
- Protect executive time by challenging, redirecting, delegating or declining requests where appropriate.
- Anticipate issues before they become urgent.
- Take ownership of delegated tasks and progress them through to completion.
- Liaise directly with senior stakeholders to obtain information, resolve routine issues and maintain momentum.
- Know when to act independently and when escalation is required.
- Maintain effective systems for actions, follow\-ups, commitments and information.
- Identify opportunities to improve the CEO’s organisation, effectiveness and use of time.
Business \& Project Support
Where required, the Executive Assistant will also support selected projects and initiatives across the wider group.
This may include:
- Supporting strategic, commercial and operational projects.
- Coordinating meetings, documentation, actions, deadlines and follow\-ups.
- Maintaining project trackers and providing concise progress updates.
- Conducting research and gathering information for projects or new opportunities.
- Coordinating activity across multiple businesses or departments.
- Supporting management information, reports and presentations.
- Maintaining key business documents, templates and shared information.
- Assisting with leadership meetings, company events and group\-wide initiatives.
- Supporting selected finance administration, including expenses, invoices and reconciliations.
- Providing ad\-hoc administrative support where this helps senior leaders or projects progress efficiently.
We are looking for someone with experience in a trusted Executive Assistant, senior Personal Assistant or comparable executive support role.
You should have:
- Experience supporting a CEO, Chairman, founder, Managing Director or senior executive.
- Exceptional organisation and prioritisation skills.
- The confidence and judgement to work autonomously.
- Strong executive diary management experience, ideally across multiple businesses.
- Excellent written and verbal communication skills.
- Confidence dealing with senior stakeholders and external advisers.
- Excellent attention to detail while maintaining sight of wider priorities.
- Strong judgement around confidentiality, discretion and sensitivity.
- The ability to absorb information quickly and identify what matters.
- A proactive approach and ability to anticipate requirements.
- Strong follow\-through and accountability.
- Confidence using Microsoft 365 and/or Google Workspace, plus tools such as Motion, Todoist and Xero.
- The ability to create and maintain effective systems for executive organisation and action tracking.
It would be advantageous to have:
- Experience in an entrepreneurial, owner\-managed or rapidly growing organisation.
- Experience working across multiple businesses, legal entities or management teams.
- Exposure to board, leadership or senior management meetings.
- Experience coordinating business projects or strategic initiatives.
- A basic understanding of finance administration, including invoicing, expenses and reconciliations.

Pay: £25,420\.00\-£34,000\.00 per year
