Day-to-day of the role:
- Provide efficient and effective administrative support to ensure the smooth running of the office/department.
- Manage the diary to optimise the effective use of time, planning and convening meetings, arranging hospitality, and using digital calendar systems.
- Offer proactive, confidential administrative support to the line manager, handling sensitive digital documents securely.
- Service meetings across campuses by preparing agendas, supporting papers, and minutes, and coordinating logistics.
- Demonstrate excellent written and verbal communication skills, producing clear, professional outputs.
- Respond promptly to communications, exercising sound judgement in assessing sensitivity and urgency.
- Manage an email prioritisation and information retrieval system, maintaining organised digital and physical filing systems.
- Produce accurate correspondence, reports, and documents using digital workflow processes and AI-assisted tools.
- Record staff annual leave and sickness accurately using HR systems, ensuring GDPR compliance.
- Arrange travel and accommodation using online booking platforms to deliver cost-effective arrangements.
- Provide support and cover for the management team during absences, adapting to different teams and systems.
- Process expenses and credit card transactions using digital expense management systems.
- Proven experience in an administrative or personal assistant role.
- Strong organisational and planning skills.
- Excellent communication and interpersonal abilities.
- Proficiency in using digital tools and software for office management.
- Ability to handle confidential information with discretion.
- Knowledge of GDPR and compliance requirements.
