Location: Plymouth City Centre (Hybrid – 1 day per week in the office, more if preferred)
Salary: £30,000 – £35,000 per annum
Hours: 37 hours per week (Monday–Friday, flexible working available)
Contract: 6-month initally with strong potential to become permanent

About the Role
We are seeking a highly organised and proactive Executive Assistant on behalf of our client to provide comprehensive support to the Chief Executive and Executive Leadership Team (ELT). This is a pivotal role, ensuring the smooth running of executive operations, governance processes, and key organisational activities.
This is an excellent opportunity for an experienced EA who thrives in a fast-paced environment and enjoys working at a senior level with a high degree of autonomy.
Key Responsibilities
Executive Support
- Provide high-level administrative support to the CEO and ELT, including complex diary management
- Coordinate meetings, events, and travel arrangements
- Prepare briefings, presentations, and formal communications
- Act as the first point of contact for the CEO, managing correspondence and enquiries
- Maintain and oversee organisational calendars and scheduling
- Organise and support Board and Committee meetings (agenda preparation, minute-taking, action tracking)
- Coordinate Board papers and ensure timely distribution
- Maintain governance documentation and Board portals
- Support compliance with Companies House, Charity Commission, and other regulatory requirements
- Assist with trustee appointments, inductions, and Board development
- Coordinate ELT meetings, including agendas, minutes, and follow-up actions
- Monitor progress against organisational priorities and workplans
- Support cross-functional communication and project coordination
- Support organisation-wide events and key business activities
- Maintain accurate records, reports, and documentation
- Assist with ongoing projects and business improvements
Essential Skills & Experience
- Experience providing executive or senior-level administrative support
- Exceptional organisational and diary management skills
- Experience preparing agendas, taking minutes, and managing action logs
- Strong ability to handle confidential information with discretion and professionalism
- Excellent written and verbal communication skills
- Advanced IT skills, including Microsoft Office and digital collaboration tools
- Confidence using AI-assisted tools to improve efficiency
- Comfortable working in a hybrid/remote environment
- Experience within a charity, not-for-profit, or public sector organisation
- Understanding of governance and regulatory requirements
- Experience supporting Boards or senior leadership teams
- Proactive, self-motivated, and able to work independently
- Calm, adaptable, and able to manage competing priorities
- Strong attention to detail and commitment to quality
- Collaborative, with excellent interpersonal skills
- Professional and credible, with the ability to build trusted relationships
