Executive AssistantAbout the Role We are seeking a highly organised and proactive Executive Assistant to support a team of senior professionals within a fast-paced, client-focused financial services environment. This role requires exceptional organisational skills, discretion, attention to detail, and the ability to manage multiple priorities while providing seamless administrative and operational support.
The successful candidate will act as a key point of contact for senior stakeholders, coordinating schedules, travel arrangements, events, communications, and a wide range of administrative activities.
Key ResponsibilitiesTravel Management • Coordinate complex domestic and international travel arrangements, including flights, accommodation, visas, airport transfers, and detailed itineraries.
- Manage all associated travel logistics and administration.
- Strategically plan travel schedules and liaise with internal and external stakeholders to ensure smooth execution.
- Arrange internal and external meetings on behalf of senior stakeholders.
- Anticipate schedule changes, resolve diary conflicts, and ensure adequate travel and preparation time between commitments.
- Organise client lunches, team events, offsites, and other business functions.
- Coordinate large-scale internal and external events, including closing dinners and team gatherings.
- Manage voicemail messages and incoming calls professionally.
- Exercise sound judgement when handling communications, escalating matters where necessary and responding independently to routine requests.
- Assist with onboarding and integration of new team members.
- Build effective working relationships across the wider organisation.
- Provide basic formatting support for presentations, spreadsheets, and documents.
- Maintain team distribution lists and internal records.
- Coordinate new starter processes and administrative requirements.
- Ensure team information and project tracking documents remain accurate and up to date.
- Assist with expense processing and general administrative duties.
- Process expenses accurately and within required deadlines.
- Support the preparation of client presentations and materials.
- Coordinate printing, document production, and office services requests.
- Manage office moves, workspace logistics, and departmental administrative requirements.
- Maintain office supplies and ensure equipment and shared resources are adequately stocked.
- Excellent written and verbal communication skills.
- A high degree of professionalism and discretion when handling confidential information.
- Strong organisational and time-management abilities.
- The ability to work effectively under pressure and manage competing priorities.
- A collaborative approach and ability to thrive in a fast-paced team environment.
- Strong attention to detail and commitment to delivering high-quality work.
- Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
