Role and Overview

As a global sports travel business delivering sporting trips and events worldwide, we rely on having the right people in the right place at the right time. Working closely with operational teams, you will help forecast staffing requirements, coordinate our casual workforce and ensure all trips are fully resourced while remaining cost\-effective.

Acting as a central point of coordination, you will support workforce planning, scheduling and resource allocation, ensuring staffing requirements are met efficiently and in line with business needs. You'll also oversee compliance, ensuring workers are appropriately trained, qualified and ready for deployment.

This is a fast\-paced, collaborative role that requires strong organisational skills, attention to detail and the ability to build effective relationships across both internal teams and our wider workforce. You'll play a key role in solving staffing challenges, responding to changing operational demands and supporting the successful delivery of sporting events around the world.

Accountabilities

  • Forecast staffing requirements for upcoming trips, events and operational activity.

  • Develop detailed staffing plans and cost models to support business performance.

  • Source, onboard and manage staffing agencies and external workforce suppliers.

  • Negotiate rates, terms and service agreements to maximise value and control costs.

  • Ensure compliance with UK and international employment regulations, including Right to Work requirements and agency worker legislation.

  • Manage agency worker timesheets, approvals and associated reporting.

  • Maintain a high\-quality pool of casual workers, including accurate records of skills, qualifications, availability and location.

  • Partner with operational teams to identify staffing gaps and proactively address resource challenges.

  • Coordinate worker allocation based on experience, availability and operational requirements.

  • Manage last\-minute staffing changes and operational cover requirements.

  • Ensure all workers have completed required onboarding, training, DBS and safeguarding checks before deployment.

  • Build strong relationships with operational leaders, agencies and casual workers to deliver a seamless staffing function.
Prerequisite knowledge, Skills \& Experience
  • Proven experience in workforce planning, resource scheduling or logistics planning.

  • Experience managing budgets and labour costs.

  • Strong planning, forecasting and analytical skills.

  • Experience working within travel, logistics, events or operational environments.

  • Excellent stakeholder management and relationship\-building skills.

  • Strong organisational skills with the ability to manage multiple priorities and deadlines.

  • Advanced Microsoft Office skills, particularly Excel.

  • A proactive, self\-motivated and solutions\-focused approach.

  • Excellent communication and customer service skills.

  • Strong attention to detail and a commitment to compliance and operational excellence.

  • Worldwide travel knowledge (desirable).

  • Experience within sports travel or sporting events would be advantageous but is not essential.
