Job description
Join the Department for Transport Estates team, managing a diverse portfolio of office accommodation across the UK. As Estates Client Manager, youll lead on asset management, supplier oversight and stakeholder engagement for the office accommodation portfolio, ensuring properties are compliant, optimised and aligned to organisational needs. Working across Whitehall, youll handle reporting and strategic planning, while supporting senior leaders with expert property insight. This varied role offers the opportunity to influence estates strategy, drive improvements and deliver impactful outcomes across a complex, high\-profile portfolio.
Your responsibilities will include, but arent limited to:
- Undertake accurately monthly budgeting, forecasting and financial management in respect of the Departments office accommodation portfolio requiring regular liaison with stakeholders including our Finance Business Partners.
- Work with Portfolio Management Office to ensure rent and service charges are collected and paid, track and validate rates liabilities, and support financial planning with respect to any rates changes.
- Manage all Operational Estates Master Services Agreements that set the overarching terms for ongoing service relationships.
- Effectively managing the office accommodation portfolio to minimise risks and ensure compliance with statutory, regulatory, professional, and contractual requirements. o Carry out property management tasks including lease negotiations, lease renewals and consents required.
- Negotiating and delivering commercial arrangements to meet the Departments needs.
- Manage Memoranda of Terms of Occupation with GPA/HMRC which define how Government departments occupy space within the civil estate.

Required experience:
To be successful in this role you will need to have the following experience:
- Experience of property management, specifically office accommodation, working in a professional property team, and leading on projects and delivering advice to clients
- Experience of maintaining effective relationships at all levels and across multiple difference professional disciplines (such as HR, Digital Services and Personnel Security) to understand and deliver stakeholders needs and priorities
- Experience of clienting for large organisations, aligning deliverables against wider strategies and workforce requirements
- Experience of working with senior leaders to plan, advise and support delivery of office accommodation projects
- Managing expectations, making quick and well\-judged decisions based on a sound understanding of client requirements and the business context
- Experience of reviewing, analysing, interrogating and interpreting data, and drawing logical conclusions
- Experience of explaining property matters and reports to others. Presenting data and explaining reports to stakeholders many of whom do not have a background in property.
- Experience of writing high quality reports and presenting their findings to a wider range of stakeholders.
Working hours, office attendance and travel requirements
Full time roles consist of 37 hours per week.
Whilst we welcome applications from those looking to work with us on a part time basis, there is a business requirement for the successful candidate to be able to work at least 30 hours per week.
This role is suitable for hybrid working, which is a non\-contractual arrangement where a combination of workplace and home\-based working can be accommodated subject to business requirements.
The expectation at present is a minimum of 60% of your working time a month will be spent at either your designated workplace (one of the locations cited in the advert) or, when required for business reasons, in another office/work location/visiting stakeholders. Your designated workplace will be your contractual place of work. There may be occasions where you are required to attend above the minimum expectation.
Occasional travel to other offices will be required, which may involve overnight stays.
