We are looking to recruit a dedicated and organised Ward Clerk to provide high\-quality administrative and receptionist support to the Gynaecology Assessment Unit (GAU), Early Pregnancy Assessment Clinic (EPAC) and Day Theatre services based on Jasmine Ward.
You will play a key role in supporting patients, clinicians and the wider multidisciplinary team at outpatient level, ensuring the smooth running of clinics and maintaining an efficient, welcoming administrative service within the Women's Hospital.
Main duties, tasks \& skills required

- Provide a comprehensive clerical and reception service for GAU, EPAC and Day Theatre clinics on Jasmine Ward.
- Act as a first point of contact for patients, visitors and staff, responding to queries in person and by telephone in a professional and compassionate manner.
- Support clinical teams by coordinating patient attendances, appointments and clinic activity.
- Maintain accurate patient records using Trust patient administration systems.
- Promote a positive patient experience and support effective communication within the multidisciplinary team.

Job description

- Register new patients and maintain accurate demographic and clinical information on electronic patient record systems, including admissions, discharges, clinic lists and appointments.
- Manage clinic and outpatient appointments, including new, follow\-up, urgent and short\-notice bookings, and issue appointment documentation to patients.
- Deal with telephone and email enquiries from patients, GPs, hospital staff and other agencies, taking accurate messages and escalating appropriately when required.
- Manage medical notes, including retrieving, requesting, tracing and distributing notes and documentation across departments.
- Support the clinical team by preparing and maintaining clinic lists and ensuring patient information is up to date.
- Undertake general administrative duties including typing letters and reports, photocopying, filing, post distribution and maintaining stationery stock.
- Liaise effectively with a wide range of departments and services across the Trust to support patient pathways.
- Provide administrative cover across the wider admin team as required, including flexibility to cover annual leave and sickness.
- Work independently within Trust policies and procedures, escalating issues to senior staff when appropriate.
- Maintain strict confidentiality and comply with information governance, data protection, safeguarding, health and safety and infection control requirements at all times.
- Contribute to a supportive, respectful and patient\-focused working environment in line with Trust values.
