Mater Private Network is seeking to recruit a dedicated and experienced Medical Secretary to provide comprehensive secretarial and administrative support to preventative health across our day hospitals. In this role, you will play a key role in ensuring health screening clinics run seamlessly, supporting patient wellness pathways from initial referral to follow\-up, and delivering an exceptional, patient\-centred service focused on early detection and health promotion.
Key Responsibilities
- Clinic \& Screening Coordination: Book all outpatient health screening appointments and preventive health consultations across our day hospital locations; maintain daily clinic schedules; coordinate follow\-up appointments and specialist referrals to ensure seamless care pathways.
- Patient \& Assessment Preparation: Provide patients with pre\-screening guidelines and lifestyle preparation instructions; verify insurance coverage or self\-pay arrangements for health assessments; ensure all medical documentation and baseline test results are fully prepared ahead of consultations.
- Medical Secretarial \& Audio Typing: Perform Dictaphone/audio typing for preventive medical reports, risk assessments, and consultant correspondence accurately and in a timely manner.
- Interdepartmental Liaison: Collaborate with day hospital clinical teams and diagnostic services regarding timely return of screening results; participate in daily operational meetings to discuss clinic prioritisation and patient flow across sites.
- Financial \& Administrative Management: Handle accounts and collection of payments for private health packages; manage general patient queries professionally via phone and email; maintain accurate medical records in line with hospital standards.
- Systems \& Software: Utilise hospital administration systems (PAS/EHR) alongside MS Word, Excel, and Outlook to manage patient data effectively across multiple day hospital facilities.
- Education: Leaving Certificate or equivalent standard of education.
- Key Skills: Proven experience in medical Dictaphone/audio typing and a solid command of general medical and preventive health terminology are essential.
- Experience: Previous secretarial experience in a medical, day hospital, or health screening setting is highly advantageous.
- Technical Proficiency: Strong IT skills, particularly in MS Word, MS Excel, Outlook, and electronic patient management systems.
- Core Competencies: Excellent communication and interpersonal skills with high sensitivity to patient needs; exceptional accuracy and attention to detail; strong team\-working abilities under pressure; ability to exercise initiative and discretion.
