Customer Service and Administrative Assistant

Everfresh Natural Foods is a specialist organic sprouted grain bakery based in Frampton on Severn, Gloucestershire. We produce high\-quality organic baked goods for wholesale and ecommerce customers across the UK and Europe. We are looking for someone to join us and keep things running smoothly.
The Role
This is an office\-based, full\-time position reporting to the Head of Bakery. Working hours are Monday to Friday, 08:00–16:30 and can be flexed if required. You will be the first point of contact for our wholesale and ecommerce customers, manage key administrative processes, and work closely with the production team to keep orders, supplies, and logistics on track.
Key Responsibilities
- Be the friendly, professional front\-facing point of contact for wholesale and ecommerce customers — handling calls, emails, complaints, refunds, and resends.
- Monitor and respond to customer\-focused inboxes (orders, bakery, and general), triaging and escalating where needed.
- Process sales orders and keep key production logs up to date.
- Invoice wholesale customers when orders are dispatched.
- Maintain goods\-in and accounts payable records, and send supplier remittances.
- Place orders for raw materials and help ensure supply chains run effectively alongside the Production Manager.
- Organise freight and customs clearance for EU\-based customers, liaising with the production team to ensure timely collections.
- Support credit control: monitor the sales ledger and chase late payments in collaboration with the Head of Bakery.
- Attend the weekly operations review meeting and contribute to the smooth running of the business.
Essential
- Excellent customer service skills with a warm, professional telephone manner.
- Strong organisational ability and keen attention to detail.
- Good Excel skills
- Comfortable working independently as well as collaboratively in a small team.
- A positive, can\-do attitude and willingness to go above and beyond.
- Experience with EU freight forwarding or customs documentation.
- Familiarity with Sage 50 accounts software.
- Background in organic food production or the bakery sector.
