The Role

As Customer Compliance Controller, you will report to the Customer Service Manager and plan and book the scheduled maintenance our customers' vehicles need to stay compliant \- MOTs, safety inspections, and tachograph calibrations.

The aim is simple: nothing goes overdue, and customers lose as little time as possible while their vehicles are in for work. You will spot what is coming up, line up a slot with the dealer or service provider, agree it with the customer, arrange a substitute vehicle where needed, and follow the job through until the paperwork is checked and filed. You will work closely with our Customer Service Advisors and our Fleet Engineering, Rental, Sales, and Finance teams, as well as our network of dealers and suppliers.

Key Responsibilities:

  • Maintenance Planning: Run reports on upcoming maintenance events across our customers' fleets and plan bookings well ahead of due dates.

  • Booking \& Scheduling: Book MOTs, safety inspections, and tachograph calibrations with third\-party dealers and service providers, matching supplier availability with customer preferences.

  • Customer Liaison: Confirm appointments with customers by email, arrange substitute vehicles where needed, and keep customers informed to avoid no\-shows.

  • Progress Tracking: Track active maintenance jobs and follow up with suppliers so work is completed on time, resolving any scheduling issues quickly.

  • Compliance Records: Obtain, check, and upload completed maintenance paperwork, and send copies to customers for their records.

  • System Accuracy: Keep vehicle records and service schedules accurate and up to date on our systems, and provide customers with maintenance planners for their fleet.

  • Customer Communication: Respond promptly and professionally to customer calls and emails about maintenance queries, escalating issues where needed.
We would love to hear from you if you have:
  • At least 2 years' experience in a customer service or fleet scheduling role, ideally within the commercial vehicle or rental industry.

  • Knowledge of commercial vehicles and fleet management

  • Excellent verbal and written communication skills.

  • Strong organisational skills and great attention to detail.

  • The ability to manage multiple priorities in a fast\-paced, team\-oriented environment.

  • A willingness to learn and adapt to evolving processes and technology.
This role is fully office based at our Head Office in Alrewas, so you will need to live within a comfortable commute of Burton on Trent or the surrounding areas.
