Contracts Manager – Maintenance

SAP Landscapes is one of Ireland’s largest and most established landscape and maintenance companies, with over 50 years of experience creating and sustaining exceptional outdoor spaces. As we continue to grow, we are looking to hire a Contracts Manager within our Maintenance department to join our team.

This is an exciting opportunity to manage a portfolio of maintenance contracts, lead multiple crews, build strong client relationships and play a key role in delivering high\-quality landscape maintenance services across a diverse client base.

Position: Contracts Manager / Maintenance Department

Location: Kildare/Dublin Areas

Reporting to: Maintenance Operational Manager

This job description outlines some of the duties and responsibilities that are associated with the role but it is by no means an exhaustive list and may be amended as the management of the company directs.

Key Responsibilities:


  • Manage a portfolio of landscape maintenance contracts and oversee the delivery of works to the highest standards.

  • Coordinate and supervise multiple maintenance crews, ensuring works are completed safely, efficiently, on time and in accordance with contract specifications.

  • Manage additional works from existing and new clients, including site inspections, preparing quotations, scheduling works and overseeing delivery.

  • Build and maintain strong client relationships, acting as the main point of contact and responding promptly to client enquiries, concerns, and feedback.

  • Plan daily and weekly workloads, allocating labour, plant, materials and subcontractors to maximise efficiency.

  • Carry out regular site inspections and audits, providing guidance, coaching and support to crews to maintain quality standards.

  • Monitor employee performance, attendance, and training requirements, working closely with HR where necessary.

  • Ensure compliance with all Health \& Safety policies, including PPE, toolbox talks, accident reporting, investigations and staff training.

  • Complete daily, weekly, and monthly reports using the company’s E\-Forms system.

  • Review and approve timesheets, assist with payroll administration and maintain accurate client records and documentation.

  • Monitor contract performance, job costing, budgets, procurement, invoicing, and financial targets.

  • Liaise with Operations, Commercial, Finance, HR, and Health \& Safety departments to ensure effective contract delivery.

  • Oversee fleet maintenance, equipment requirements, and procurement of materials.

  • Identify opportunities to generate additional business by promoting SAP Landscapes’ services to existing clients.

  • Participate in management meetings, client meetings and support winter maintenance operations as required.

  • Adhere to all Company Health \& Safety, Environmental, Quality and operational policies and procedures.

  • Organise and plan daily operations to ensure resources are used effectively.

  • Deliver a consistently high standard of workmanship across all sites.

  • Lead, motivate and support teams to achieve operational and commercial objectives.

  • Manage multiple priorities while working to tight deadlines and maintaining excellent customer service.

  • Build positive working relationships with clients, colleagues, and external stakeholders.

  • Demonstrate strong problem\-solving skills and a proactive approach to resolving operational challenges.

  • Represent SAP Landscapes professionally at all times.

Requirements:


  • Strong leadership and people management experience.

  • Strong organisational, planning and time management skills.

  • Good knowledge of landscape maintenance, including seasonal management of trees and shrubs.

  • Excellent communication, interpersonal and customer relationship management skills.

  • Commercial awareness with experience preparing quotations and managing costs.

  • Ability to work on your own initiative and continuously improve ways of working.

  • Valid Safe Pass (essential).

  • Full clean driving licence (essential).
