Conference Host / Breakfast Supervisor
At Denham Grove Hotel
To supervise the planning, preparation and operational delivery of conferences, meetings, weddings and events, ensuring each client receives professional and attentive service from pre\-arrival through to post\-event follow\-up. The role supports event administration, revenue opportunities, accurate billing and effective communication across all departments. The postholder will supervise or support breakfast service according to the business requirements.
Key Responsibilities and Duties
Conference and Event Operations
Review function sheets, contracts, event plans and client requirements in advance, identifying missing information and operational risks.
Coordinate room set\-ups, signage, table plans, place settings, registration areas, coffee stations and equipment in line with the agreed function sheet.
Check event rooms before guest arrival, including cleanliness, temperature, lighting, furniture, audio\-visual equipment, Wi\-Fi and presentation standards.
Welcome organisers and delegates, do Meet and Greet, confirm the event schedule and remain the main operational contact throughout the event.
Maintain regular contact with the organiser, obtain feedback during the day and respond quickly to changes or special requests.
Liaise with Maintenance and F\& B manager for all the remedial works needed in meeting rooms and ensure all actioned in appropriate time.
Coordinate conference breaks, lunch, dinner and other service timings with Kitchen, Food \& Beverage, Reception, Housekeeping, Maintenance and Sales.
Supervise staff, allocate duties, deliver briefings and ensure service standards are consistently maintained.
Support the hosting of seasonal events, pre\-event visits, show rounds, and other promotional events.
Complete a clear post\-event handover, record client feedback and report any complaint, incident, damage or follow\-up action.
Respond professionally and promptly to any event upselling enquiries and inform Sales team. Maintain accurate event information, notes, client correspondence
Inform sales for any update floor plans, running orders, function sheets, delegate lists and other event documentation.
Check conference and event charges daily, ensure additions are authorised and support the accurate and timely processing of final bills.
Liaise with approved external suppliers, confirm delivery requirements and ensure agreed charges are correctly recorded and passed on.
Coordinate or contribute to the weekly function sheet meeting and represent the department at Operations meeting.
Team Leadership and Communication
Lead by example, maintain a positive working environment and deliver professional, respectful and consistent supervision.
Train, coach and support team members, providing constructive feedback and reporting performance or conduct concerns to the relevant manager.
Communicate accurate information between Sales, Events, Reception, Food \& Beverage, Kitchen, Housekeeping and Maintenance.
Attend training, operational meetings and departmental briefings as required.
Breakfast Supervision and Operational Support
Breakfast support is a planned part of this combined role and Event commitments, client requirements and operational handovers must remain fully protected.
Open and supervise breakfast service, ensuring the restaurant, buffet, service stations and team are fully prepared before guests arrive.
Brief the team on occupancy, expected covers, groups, VIPs, dietary requirements and special requests, then allocate duties according to business levels.
Welcome and seat guests followed, monitor service flow, assist the team during busy periods and resolve concerns promptly and professionally.
Work closely with the kitchen to maintain the quality, temperature, labelling, presentation and replenishment of all breakfast items.
Ensure tables are cleared and reset efficiently and that the restaurant, buffet and still room areas remain clean, safe and presentable.
Train and support new team members in breakfast procedures, service standards, allergens, opening and closing duties.
Complete breakfast checklists and provide a clear handover covering guest feedback, shortages, maintenance concerns and outstanding actions.
Support cost control by monitoring staffing and stock.
Must Haves:
·Experience in a conference, events, banqueting or comparable hospitality role.
· Excellent grooming standards
· Ability to work under pressure
· High level of commercial awareness and sales capabilities
· Excellent leadership, interpersonal and communication skills
· Commitment to delivering a high level of customer service
