Role Purpose
We are seeking a highly organised, mature, fastidious, reliable and efficient Compliance and Administration Manager to join our growing training organisation.
This is a pivotal role responsible for ensuring that the business operates efficiently, professionally and in full compliance with awarding organisation, regulatory and internal quality requirements.
The successful candidate will take ownership of administrative systems, learner records, compliance processes, audit preparation and quality assurance administration. They will play a key role in supporting the management team and ensuring the smooth day\-to\-day operation of the business.
This role requires exceptional attention to detail, strong organisational skills, discretion, initiative and the ability to manage multiple priorities whilst maintaining high standards of accuracy.
Key ResponsibilitiesCompliance Management
- Maintain and monitor compliance with awarding organisation requirements.
- Support preparation for External Quality Assurance (EQA) visits and audits.
- Ensure learner records are accurate, complete and audit\-ready.
- Monitor compliance with internal policies and procedures.
- Maintain compliance documentation and quality records.
- Support Internal Quality Assurance (IQA) activities and associated administration.
- Ensure certification and registration processes are completed accurately and within required timescales.
- Monitor qualification deadlines and funding requirements where applicable.
- Maintain GDPR compliance and secure record management systems.
- Assist with policy reviews and updates.
- Maintain safeguarding, health and safety and data protection records.
- Oversee all administrative functions of the business.
- Manage learner onboarding and enrolment processes.
- Maintain learner management systems and databases.
- Ensure learner files are complete and accurately maintained.
- Coordinate examinations, assessments and certification activities.
- Produce reports for management, awarding organisations and external stakeholders.
- Maintain training schedules and administrative calendars.
- Manage company correspondence and documentation.
- Support recruitment and HR administration where required.
- Coordinate meetings and maintain accurate records and minutes.
- Support the delivery of high\-quality training and assessment services.
- Assist with standardisation and quality assurance activities.
- Monitor learner progress records and documentation.
- Identify administrative or compliance risks and escalate appropriately.
- Contribute to continuous improvement initiatives across the organisation.
- Review existing administrative systems and identify opportunities for improvement.
- Implement efficient working practices and procedures.
- Develop and maintain document control systems.
- Ensure consistency across all administrative and compliance activities.
- Promote a culture of accuracy, accountability and continuous improvement.
- Excellent organisational and time management skills.
- Exceptional attention to detail.
- Strong written and verbal communication skills.
- Ability to prioritise workloads effectively.
- High level of accuracy in record keeping and data management.
- Proficient in Microsoft Office applications, including Word, Excel and Outlook.
- Experience maintaining confidential records and sensitive information.

- Experience within education, training or apprenticeship provision.
- Knowledge of City \& Guilds, EAL or other awarding organisation requirements.
- Experience supporting Internal Quality Assurance processes.
- Understanding of ESFA funding compliance requirements.
- Experience preparing for external audits or inspections.
- Knowledge of GDPR requirements.
- Experience using learner management systems.
