Job Title: Communications Administrator

Reports to: Internal Communications Manager

Department: Communications Directorate

Terms: 12\-month fixed\-term full\-time role.

Location: Dublin, hybrid.

Salary: GB3 – (€31,702 \- €35,224\)

Requirements: Expected to attend Concern\-organized events in Ireland.

Role Purpose:

You will provide administrative, communications and logistical support to communications directorate and support the successful execution of internal and external events.

Responsibilities:

If you join us, this is what you will be doing:

Supporting the communications management team

Manage purchasing, invoicing and payments for the team

Maintain budget tracking system, ensuring expenditure is correctly recorded and allocated

Organise flight bookings and travel arrangements

Organise visa applications

Organise media accreditation for journalists travelling with Concern

Manage hotel and accommodation bookings

Participate in the delivery of the emergency response strategy when required, (this may require working out of normal office hours)

Contribute creative ideas for communications projects, campaigns and channels through fora such as brainstorms and team meetings.

Supporting internal and external events

Plan and organise team and department meetings

Book meeting rooms and venues

Circulate invitations and papers

Minutes and note taking

Maintain accurate records of all event expenditure

Collect post\-event feedback and compile reports for review

Support scheduling, registration, recording and management of online event

Support management of event technology and conduct pre\-event testing and configuration on digital platforms

Prepare and distribute materials for events

Attend regular status calls for event planning and coordination

Administration

Contribute to the development of effective information management systems, data storage and retrieval systems.

Ensure office supplies are purchased and stocked in accordance with organisational guidelines and thresholds

Support the maintenance of the intranet site\- Concern 365

Provide reception cover in the Dublin office as rostered

Ensure that all activity is carried out in full compliance with Concern’s financial and administrative policies and procedures

Undertake other duties and tasks as may be agreed from time to time

Role Holder Requirements:

Essential:

Excellent administrative skills and a good knowledge of office systems and procedures including information storage and retrieval systems

Some experience in an administration or PA role in a busy office environment.

Proficiency in MS Word, Excel, PowerPoint and Outlook, as well as remote systems such as SharePoint and MS Teams.

Advanced knowledge and experience with Zoom

Well\-developed analytic, research and numeracy skills

Well\-developed time management skills and the ability to plan and manage work

The ability to work on one’s own initiative as well as working as part of a team

Good communication skills

Desirable:

An appreciation of Concern’s work and the values and culture of the communications directorate

Interest / experience in event management

Interest / experience in media and communications

Experience with audio, video, and technical direction of live virtual events
