Silver Fern Family Osteopaths – Pershore
Part\-time: 10 hours per week initially
Monday \& Thursday, 9:30am–2:30pm
£15\.00 per hour, with scope for review as the role and responsibilities develop.
Silver Fern Family Osteopaths is a growing multidisciplinary healthcare clinic in Pershore, providing osteopathy alongside acupuncture, sports therapy, health and wellness coaching, with nutritional therapy services developing within the clinic.
As our team and services continue to grow, we are looking for an organised, capable and commercially aware Clinic Administrator \& Operations Coordinator to become a key part of the clinic. This role combines hands\-on reception and patient administration with the opportunity to develop into a much broader clinic operations role.
Initially, you will help manage the day\-to\-day running of reception, patient enquiries, appointments and administration. However, we are deliberately looking for someone with the skills and potential to take on considerably more responsibility as the clinic develops. We are looking for someone who enjoys creating order, improving systems, working with people and information, and taking ownership of getting things done.
What You’ll Be Doing
Initially, your role will include:
- Managing patient enquiries, telephone calls, emails and communications
- Welcoming patients and helping reception run smoothly
- Coordinating diaries, appointments, cancellations and waiting lists using Cliniko
- Helping patients navigate our services and find the appropriate practitioner or appointment
- Taking payments and completing routine patient administration
- Supporting practitioners with day\-to\-day administrative requirements
- Maintaining accurate and organised clinic systems and documentation
- Helping identify and resolve diary, administrative and operational issues
- Supporting the wider back\-office administration of the clinic
- As you become established, we would expect the role to develop beyond routine reception and administration.
We want to build an administrative and operational function that supports the continued growth of the clinic. Over time, this role has the potential to take responsibility for areas including:
- Clinic performance and KPI reporting
- Practitioner diary utilisation and capacity monitoring
- Tracking enquiries, new patients, cancellations, rebooking and patient retention
- Data collection and analysis to help inform business decisions
- Financial administration, invoicing, receipt management and payment reconciliation
- Supporting financial reporting and monitoring clinic performance
- Patient recall and re\-engagement systems
- Practitioner onboarding
- Recruitment and routine HR administration
- Maintaining HR records and documentation
- Clinic policies, procedures and compliance administration
- Developing and improving administrative systems and processes
- Mailchimp, newsletters and patient communications
- Supporting new practitioners and services
- Supporting projects and business\-development activity
- We do not expect one person to take responsibility for all of these areas immediately. The role will develop gradually according to your strengths, experience and the needs of the clinic.
You will have:
A strong eye for detail \- accurate, organised and notice when something has been missed.
Excellent communication and customer care \- enjoy helping people and can communicate confidently and professionally with patients and practitioners.
Strong organisational skills \- able to manage different priorities, maintain systems and follow tasks through to completion.
Initiative and problem\-solving ability \- you don't need to be given a list of instructions for every task. You are comfortable identifying problems, finding sensible solutions and knowing when something needs to be escalated.
Confidence with IT and systems \- comfortable learning new software and using digital systems as part of your everyday work.
Confidence working with figures and data \- you don't need to be an accountant or data analyst, but you should be comfortable using spreadsheets, working with figures and understanding what data can tell us about how the clinic is performing.
A business\-minded approach \- interested in understanding how a small business operates and how good administration, systems and organisation can contribute to its success.
Reliability and discretion \- understand the importance of confidentiality and can be trusted with patient, practitioner, financial and business information.
Experience \- Previous experience in administration, operations, healthcare, professional services or a small\-business environment would be beneficial.
Experience in some of the following would be particularly useful:
- Administration or office coordination
- Financial administration
- Excel or Google Sheets
- Reporting or KPI tracking
- Practice\-management or booking systems
- HR or recruitment administration
- Practice\-management, booking or customer database systems
- Mailchimp or email communications
- Improving administrative systems and processes
- Healthcare experience is helpful but is not essential. We can teach you our clinical systems and processes. We are particularly interested in finding someone who already brings strong organisational, administrative and problem\-solving skills.

We work with patients across all ages and stages of life and aim to provide high\-quality care within a professional, friendly and welcoming environment. Our team includes osteopaths, an acupuncturist, sports therapist and health and wellness coach, with additional practitioners and services continuing to develop.
Working within a small team, you’ll have the opportunity to take real ownership of your role and become increasingly involved in the wider running of the clinic as it grows.
