Division of Restorative Dentistry \& Periodontology Clerical Officer\- Grade III (Permanent \& 8 Months SPC Contract)
The Dublin Dental University Hospital is the major dental teaching hospital in Ireland, undertaking the training of postgraduate and undergraduate dental students, student dental nurses, dental technicians and dental hygienists. The DDUH is seeking to recruit a 1x Clerical Officer Grade III/Divisional II Administrator for a Permanent Contract \& 1x Specified Purpose Contract 8 Months \& Full\-Time. The position reports to and is accountable to the Head of the Division of Restorative Dentistry and Periodontology. A panel will formulate for 12 months.
This post is aligned with the Grade III Clerical Officer HSE salary scales which starts at €31,618\-€48,927 (15 pt. scale).
Outline of Duties and Responsibilities:
Each candidate must have:
- Leaving Certificate or equivalent.
- Previous relevant experience in a hospital setting.
- Excellent interpersonal, organisational and communication skills.
- Initiative and enthusiasm with an ability to multitask with ease.
- Excellent organisational and time management skills.
- The ability to work independently.
- Ability and willingness to learn new skills in a constantly changing environment
- Good communication, detail orientated, proficiency with office management systems including Enterprize, Microsoft Office and Salud and other relevant packages.
- Able to identify potential difficulties and formulate solutions.
- Adaptable, with the ability to work on own initiative, prioritise and manage a number of issues simultaneously.
- Demonstrate a patient and student focused approach.
The successful candidates will be responsible for:
- Providing general office support in the Division of Restorative Dentistry and Periodontology including reception and telephone services.
- Maintain, update, and organise paper and electronic filing systems.
- Prepare or assist with reports, documents, and correspondence.
- Record information accurately on systems such as Salud database.
- Action all communications (emails, letters, internal messages) in a timely manner.
- Handle incoming and outgoing calls with the public, patients, and staff.
- Identify potential problems or inconsistencies and report them promptly.
- Maintain up‑to‑date knowledge of HSE policies, procedures, and guidelines.
- Provide administrative support to managers, clinicians, and multidisciplinary teams.
- Assist colleagues and contribute positively to team operations.
- Ensure all personal and health information is handled securely and confidentially.
- Follow GDPR and HSE data‑protection protocols at all times.
- Undertake additional administrative tasks as assigned by management.
The post holder may be moved to any other position within clerical/administration throughout the hospital at any time during their employment on a temporary or permanent basis.
