Responsible to: The Trustees of the Benhilton Granfers Association

Responsible for: Operational Day\-to\-day Management of the Centre

Hours: Full Time (or opportunity for job\-share). Some unsociable and weekend working is required.

Granfers Community Centre – Background

The Granfers Community Centre as a concept was established in September 1999\. At the time, an informal consortium including: Age Concern Sutton (now Age UK Sutton); Euro Asian Centre (now defunct); Sutton Seniors Forum; and the Local Authority met to steer, develop and drive the project for the new build. The Granfers Association (facilitated by Sutton Centre for Voluntary Services (now Community Action Sutton, CAS)) played a leading role.

The scheme was based on making use of a plot of land (in Oakhill Road, Sutton) owned by the Granfers Association Trustees. Based on Borough research and a needs assessment (of older people in the Borough), a business plan was developed; fundraising to finance and deliver the project followed; and work commenced at the start of 2001\. An important aspect of the business plan was that the Centre once up and running was to be self\-financing.

Over 1 million pounds was raised enabling the building work to commence. The building was completed in Oct 2003\.

The project aimed to provide a high quality and supportive environment to benefit older people in the Borough. The objective was to have, in one place, a venue where a comprehensive range of activities and services (which originally included a lunch club, information and advice, physical activities, social events, learning opportunities and specialist advice such as advocacy) could be pursued.

As part of the strategy to make the Centre self\-financing the space is used for several purposes. Office accommodation is let at affordable levels to voluntary groups working with older people and historically this has included Age UK, Sutton Seniors Forum, and the Euro Asian Centre. When not being used by older people the Centre is available for rent by local groups and a training/meeting room is available for hire by local businesses and other organisations.

Main Purpose of role

To take day\-to\-day responsibility for the management and promotion of Granfer’s Community Centre, ensuring that it develops in line with the constitution, mission, vision and objectives of the charity.

Overview

● To actively market, promote and facilitate the maximum usage of the Centre as a resource for older people, voluntary and community groups and where appropriate statutory and business organisations.

● To develop, review, implement and update policies and procedures to ensure the Centre runs effectively and efficiently including Equal Opportunities, Health \& Safety, Personal Security, Room Hire and Complaints.

● To report quarterly (or as required) to the Board. Reporting on the operational and financial aspects of the Centre including, for example: performance against budget; operational issues; relevant occupancy levels data; and any other matters relevant to the Centre’s operations, maintenance and development.

Day\-to\-day Management

● Work closely with other organisations, staff, and volunteers to take bookings and co\-ordinate and maximise the use of the Centre’s facilities.

● Oversee, organise and direct work undertaken by contractors, for example, cleaners, gardeners, handyman etc.

● To provide and induct relevant information, advice and assistance to all new and existing hall hirers using the Centre.

● To ensure that all Centre users are familiar with and comply with the policies, procedures and practices of the Centre particularly Health \& Safety requirements taking prompt action where necessary.

● To ensure the Centre is kept clean and in good repair at all times and that the halls are left as hirers find them. To maintain a cooperative relationship at all times, so ensuring problems / issues can be resolved quickly.

● To ensure that regular Fire Alarm tests and practices are carried out, recorded and reported (to the Board) in accordance with the relevant policy.

● To ensure that all equipment which is the responsibility of the Board is routinely maintained and remains in good working order.

● To ensure that all appropriate insurances are in place, reviewed and renewed in a timely manner.

● To ensure that any identified repairs are carried out as required.

● To liaise with the Board, relevant Council departments, public utilities, contractors and any other agencies in relation to the building’s up\-keep and service requirements.

Finance and Administration

● To work with the Board in general and the Treasurer more specifically to develop business plans and budgets for the Centre and to be responsible for maintaining, recording and reporting on\-going income generation and expenditure.

● To undertake day\-to\-day administration including accessing QuickBooks to issue monthly invoices, record\-keeping of monies in/out of the Granfers bank accounts, and reimbursements regarding monies paid out.

Person Specification

ESSENTIAL

● Work independently.

● Facilities management experience.

● Knowledge of developing, implementing, reviewing and updating policies and procedures relevant to a community centre particularly in relation to health and safety.

● Knowledge of administration procedures necessary to ensure the smooth running of a community centre.

● Ability to communicate both orally and in writing, with a range of people from different backgrounds and circumstances.

● Ability to challenge and relay negative feedback to hall hirers who do not fulfil their responsibilities

● Ability to work on own initiative and with no day\-to\-day supervision.

● Ability to undertake responsibilities in line with Granfer’s Community Centre’s Equal Opportunities Policy.

DESIRABLE

● A minimum of 2 years’ experience of managing a Community Centre / Public Building or equivalent facility.

● Knowledge and understanding of the needs of older people.

● Good working knowledge of QuickBooks, Microsoft Office, Word, Excel, PowerPoint and Email.

● Experience of working with voluntary and statutory agencies.

● A current First Aid at Work qualification (or willingness to undertake on appointment).

GENERAL

● To attend Board meetings relevant to the Centre and its future development (these may sometimes be held in the evenings). Meetings are currently held monthly, but it is planned to reduce their frequency once the post\-holder is established.

● To draft reports as necessary for the Board, funders, and other relevant agencies.

● To carry out other activities as the Board may from time to time require.

Pay: £35,000\.00\-£36,000\.00 per year
