Care Home Administrator
JOB TITLE: Receptionist. REPORTING TO: Registered Manager
HOURS: 35 hours per week \- 9\.30am\-4\.30pm \- Monday to Friday
PURPOSE OF THE POSITION
The Administrator will be the first point of contact for visitors to the home, he/she will also be responsible for providing administration support to senior staff.
MAIN RESPONSIBILITIES
1\. Provide administration support in order to ensure efficiency and effectiveness within the homes.
2\. Answer incoming calls and handle caller’s enquiries whenever possible, including bed enquiries.
3\. Ensure the enquiry tracker is completed.
4\. Answer the door and welcome visitors to the home.
5\. Make appointments for visitors to visit the home.
6\. Book transport for residents when needed.
7\. Keep (Residents) records up to date.
8\. Stamp and post all letters and take to the post office before last collection.
9\. Maintain the general filing system.
10\. Provide admin support for Senior Management.
11\. To apply for DBS when needed and support with HR onboarding, ie Uniforms, Home Office checks etc.
12\. Support with Finance duties \- Petty Cash, etc
13\. Support with Payroll duties \- reviewing staff hours etc
14\. Ordering items for the Home \- Resident Toiletries etc
SKILLS
· Flexibility and willingness to support the home.
· Good communication and organisational skills.
· Ability to work on own initiative.
· Friendly, creative and confident.
. Excellent Computer skills \- Outlook, Excel, MS Word etc
TRAINING
· Attend mandatory training day/courses \& staff meetings, on or off site, as and when required
· Maintain professional knowledge and competence
HEALTH AND SAFETY
· Report immediately to the Manager or person in charge any illness of an infectious nature or accident incurred by a client, colleague, self or another
· Understand and ensure the implementation of the Homes Health \& Safety Policy, and Emergency and Fire Procedures
· Report to the Manager, or the maintenance department, any faulty appliances, damaged furniture equipment or any potential hazard
· Promote safe working practice in the home
GENERAL
· Ensure that all information of confidential nature gained in the course of your duty is not divulged to third parties.
· Notify the person in charge, as soon as possible of your inability to work, and also on your return to work from all periods of absence.
· Ensure the security of the Home is maintained at all times.
· Adhere to all Company policies and Procedures within the defined timescales.
· Ensure all equipment is clean and well maintained.
· Carry out any other tasks that may be reasonably assigned to you.
