Lanson International UK Ltd is a wholly owned subsidiary of the Lanson BCC Group, responsible for distribution across the UK and Ireland. The company employs approximately 20 people and operates from a Central London office.

Role Overview

The Office and Business Support Manager is responsible for the efficient day\-to\-day running of the office and ensuring all administrative processes operate smoothly.

The role combines office management, executive support, health and safety oversight, and administrative coordination. It requires strong organisation, attention to detail, and the ability to manage multiple priorities in a fast\-paced commercial environment.

Key Responsibilities

Health and Safety

  • Act as Health and Safety Officer for LIUK

  • Maintain First Aid certification

  • Ensure compliance with all UK health and safety regulations

  • Work with the HR Manager to maintain and update H\&S policies

  • Ensure compliance with fire safety regulations

  • Coordinate with building management (CBRE) on best practice

  • Conduct risk assessments across office, home working, and team workstations

  • Ensure all licences, insurance documents, and risk assessments are displayed and accessible

  • Maintain accident log records

  • Ensure COSHH compliance
Office Management

Manage all office operations and service contracts, including:

  • Telephony and mobile contracts.

  • IT and equipment support (liaising with IT support consultants)

  • Printers, scanners, broadband and connectivity

  • Cleaning and maintenance services

  • Stationery and office supplies

  • Pest control services

  • Office refreshments and facilities

  • Company social events
Additional responsibilities:
  • Maintain overall office condition and coordinate repairs

  • Manage heating and cooling systems as required

  • Oversee business stationery including business cards, headed paper and comp slips

  • Manage post and franking machine usage

  • Prepare the office daily, ensuring meeting rooms, refreshments, and facilities are ready
Executive Support
  • Provide administrative support to the Managing Director

  • Manage and monitor the MD’s diary

  • Arrange travel, accommodation, visas and logistics for the MD, team, and visitors

  • Organise internal meetings including agendas, materials, catering and minutes

  • Support the organisation of internal and external events including quarterly meetings and Wimbledon activations

  • Build and maintain strong relationships with clients and stakeholders

  • Maintain accurate and organised records, files and documentation
Administration
  • Coordinate cellar visits, liaising with Lanson teams in France

  • Manage meeting room bookings for Boardroom and Noble Room

  • Support onboarding of new employees including induction plans and IT setup

  • Maintain team records including office attendance tracking

  • Edit and coordinate the weekly internal newsletter, *The Kean Street Chronicle*
Events Support (collaborating with The Events and Partnerships Manager).
  • Support the planning and delivery of events

  • Assist in preparing event briefs, timelines, budgets and operational plans

  • Coordinate logistics with internal teams and external suppliers including venues, catering, transport and entertainment

  • Manage guest administration including invitations, RSVPs, travel arrangements and seating plans

  • Support hosting of clients and VIP guests

  • Provide on\-the\-day event support and post\-event follow\-up

  • Reconcile stock, process invoices and maintain accurate records
