We are looking for a Business Operations Manager to manage the day to day productivity, efficiency and running of a construction business office in Southport.

This is a hands on, full time role and the person is responsible for the entire office process of purchase order, staff performance, contractor delivery and efficiency across the business.

Reporting to the Finance Manager and Company Directors, you will lead an office team, monitor performance, assist with daily office functions and liaise with electricians, joiners, contractors and external partners.

With a good knowledge of HR function, staff management, and construction, you will perform duties such as below:

General Duties

  • Lead the enquiries and admin team day to day — workload, standards and cover.

  • Liaise with FM company helpdesks and monitor KPIs on jobs and PPM servicing contracts.

  • Handle first\-line purchase order and invoice queries, referring commercial disputes to the Finance Director.

  • Chase customer portals for job status and paperwork so invoices can be raised on time.

  • Manage the shared enquiries inbox and route items to the right person.

  • Chase and coordinate subcontractors and suppliers for specialist outsourced works, keeping jobs on track and contracts managers informed.

  • Maintain the managers and engineers planners and circulate them weekly.

  • Order office supplies and manage supplier relationships for facilities and office services.

  • Act as the first point of contact for HR, staff queries and contractor queries.

  • Raise, chase and close support tickets with system suppliers, keeping colleagues updated.

  • Manage user accounts, access rights and system settings, including engineer set\-up and removal.

  • Maintain accurate data in the systems, including staff and vehicle records.

  • Run and circulate routine system reports.

  • Support the Finance Director on system improvement work, but not own it.
HR administration
  • Process absence, holiday and sickness records through BrightHR and keep the planner up to date.

  • Coordinate staff training, issue courses through the system and follow up completion.

  • Handle new starter and leaver administration, including paperwork, system access and equipment.

  • Maintain personnel records and benefits administration.

  • Provide administrative support on HR matters. Employment decisions remain with the Finance Director.
Compliance and accreditation oversight
  • Quality, PQQ completion and day\-to\-day accreditation work sits with the Quality and Compliance Coordinator and the Health and Safety Advisor. The Office Manager does not do this work directly, but holds the oversight so nothing is missed and the Finance Director only needs to step in when a decision is required.

  • Keep a single register of all accreditations, renewal dates and current status, fed by the Quality and Compliance Coordinator and the Health and Safety Advisor.

  • Check progress against renewal deadlines and flag slippage early, before an account is at risk of being blocked.

  • Chase internal contributors for outstanding information needed for PQQs and client reference requests.

  • Escalate to the Finance Director only when a deadline is genuinely at risk or a decision is needed.

  • Working knowledge of accreditation schemes (such as SafeContractor, Alcumus) is required to hold this oversight credibly, even though the Business Operations Manager is not the one completing submissions.
Business resilience — supporting role
  • Gain working knowledge of vehicle tracker reporting — checking tracker data against engineer hours booked to jobs, to ensure accurate job costing across reactive and project works — by supporting the Finance Director rather than running it independently.

  • Build awareness of the cyber resilience plan and basic housekeeping (access reviews, software updates, backup checks) as directed.

  • Take on more of this area over time, at the Finance Director’s discretion, as experience builds.
This is a full time, office based role in Southport, and you will lead on a team of around 10 office members.

Experience Required/Desirable:

  • Strong administrative and organisational skills, with the ability to hold several ongoing processes at once and see each one through.

  • Proven track record managing or leading a small team, including holding people to account on standards and deadlines.

  • Confident with business systems and quick to learn new ones.

  • Good written communication and a professional manner with customers and suppliers.

  • Accurate and thorough, particularly with records and deadlines.

  • Comfortable handling confidential information.

  • Able to work on their own initiative and manage their own workload.

  • Experience in construction, building services or a similar contracting environment. Working knowledge of accreditation schemes such as SafeContractor or Alcumus, even if not personally completing submissions.

  • Experience with a job management system, ideally JobLogic.

  • HR administration experience
