Business Manager
1\. Role Purpose
The Business Manager will help Brixton BID run efficiently by overseeing office administration, routine finance processes, project coordination and focused PA support to the Managing Director. The role requires strong organisation, accuracy, discretion and confidence managing varied priorities in a busy, stakeholder\-facing environment.
2\. Key Responsibilities
Office Administration (30%)
· manage day\-to\-day office administration, facilities, supplies, access arrangements and routine supplier contact
· maintain organised digital and physical filing systems, templates, records, calendars and compliance information
· manage shared inboxes and enquiries, ensuring timely follow\-up and accurate CRM records
· coordinate meetings, room bookings, team communications, IT support and basic troubleshooting
· support HR administration, including recruitment coordination, onboarding, induction, training records and leaver processes
Finance Administration (30%)
· process supplier payments, purchase orders, invoices, expenses and other routine transactions in line with approval procedures
· maintain accurate financial records, supplier information, supporting documentation
· liaise with external finance providers and supply information within agreed deadlines
· support reconciliations, budget monitoring, cash\-flow updates, forecasts and the organisation’s financial model
· prepare budget\-versus\-actual summaries, flag variances or control issues, and support year\-end, statutory and BID reporting
Project and Organisational Support (30%)
· provide coordination and administrative support across projects, programmes, events, training and member\-facing activity
· maintain project plans, trackers, timelines, action logs, risks, decisions and supporting documentation
· coordinate meetings, workshops and events, including invitations, venues, materials, attendance records, suppliers and follow\-up actions
· support procurement by obtaining quotes, preparing purchase documentation and monitoring delivery against budgets and timescales
· prepare project updates, Board or stakeholder information, routine communications and evaluation evidence
PA Support to the Managing Director (10%)
· manage selected diary commitments, meetings, briefing materials, action lists and routine correspondence
· coordinate practical arrangements, use discretion with sensitive matters and handle confidential information appropriately
3\. Person Specification
Essential
· relevant experience in office administration, finance administration, project coordination or a closely related role
· strong organisation, planning, multitasking and attention to detail, with reliable follow\-through
· experience managing inboxes, meetings, correspondence, CRM data, filing systems and administrative records
· experience processing payments, invoices, purchases and expenses, and maintaining accurate financial information
· strong spreadsheet skills, including budgets, forecasts, cash\-flow information or financial models
· experience supporting projects, events or training activity using plans, trackers, action logs and deadlines
· clear written and verbal communication skills, with the ability to build effective relationships
· discretion, sound judgement and a proactive, flexible, solutions\-focused approach
· strong working knowledge of Microsoft 365 and confidence using digital productivity tools, including AI\-assisted tools, responsibly
Desirable
· experience in an operations, finance administration, project coordination or comparable support role
· experience supporting a Board, committee, membership, BID, charity, public\-sector or stakeholder\-led organisation
· experience supporting training, events, consultations or member engagement
· experience using accounting, CRM, HR or document\-management systems
· experience providing PA or executive support to a senior leader, and working knowledge of AI tools

· Some evening, weekend and local travel may be required.
