THE ROLE \& LOCATIONS

Job Title: Assistant Property Manager
Locations: Liverpool \| Warrington \| Stockport
Employment Type: Permanent, Full Time
Hours: 40 hours per week
Salary: £26,600–£28,000 per annum, dependent upon experience

ROLE OVERVIEW

As an Assistant Property Manager within the Urban Sleep team, you will play an important role in the day\-to\-day operation of our residential developments and in providing a high standard of service to residents.

Working closely with the Property Manager and wider Operations team, you will support all aspects of the resident journey, from initial enquiries, viewings and applications through to move\-in, ongoing tenancy management and check\-out.

The role combines customer service, property administration and practical site\-based responsibilities. You will respond to resident enquiries, maintain accurate property and tenancy records, coordinate and follow up maintenance matters, undertake inspections and property checks, assist with lettings and rent collection, and help ensure that our developments remain safe, clean and well presented.

This is an active and varied role requiring excellent organisation, communication and IT skills. You will be expected to take ownership of allocated tasks, use initiative when dealing with routine matters and ensure that issues are followed through to an appropriate conclusion.

KEY RESPONSIBILITIES

Resident \& Customer Service

  • Provide a professional, friendly and responsive service to residents, prospective residents, visitors, contractors and colleagues.

  • Respond appropriately to enquiries received face\-to\-face, by telephone and by email, ensuring matters are dealt with promptly or referred to the appropriate person where necessary.

  • Build positive and professional relationships with residents while maintaining appropriate boundaries and consistently applying company procedures.

  • Deal appropriately with routine resident concerns and complaints and escalate more serious or complex matters to the Property Manager.

  • Assist residents throughout their tenancy and provide clear and accurate information regarding the development and their accommodation.

  • Assist with parcel management and other resident services provided at the development.
Lettings \& Tenancy Administration
  • Respond to prospective resident enquiries and assist with the letting of available accommodation.

  • Organise and conduct property viewings in a professional and informative manner.

  • Assist applicants through the application, referencing, booking and tenancy process.

  • Support the allocation of accommodation and preparation for new resident arrivals.

  • Assist with resident check\-ins, check\-outs and other key tenancy events.

  • Maintain accurate tenancy, resident and property information on company systems, spreadsheets and trackers.

  • Prepare and distribute appropriate resident communications, notices and correspondence.

  • Participate in property and operational handovers, ensuring outstanding actions are clearly recorded and followed through.
Property \& Site Management
  • Carry out routine inspections and checks of properties, communal areas and external areas as required.

  • Undertake pre\-arrival, periodic and check\-out inspections, accurately recording findings and required actions.

  • Identify and report maintenance, cleaning, health and safety or property\-standard issues.

  • Record maintenance matters accurately and liaise with the appropriate internal teams or contractors to ensure works are progressed.

  • Follow up reported issues and outstanding works to ensure they are completed within appropriate timescales.

  • Assist the Property Manager in maintaining high standards of cleanliness, presentation and general condition throughout the development.

  • Support the Property Standards Team with routine health and safety checks, inspections and associated tasks as required.

  • Maintain appropriate records of inspections, actions and completed works.
Bin Store \& Waste Management
  • Carry out daily checks of all bin stores and waste areas to monitor their condition, cleanliness, capacity and general management.

  • Ensure that any cleaning, waste removal or emptying required is identified promptly and appropriate arrangements are made with the relevant cleaning team, waste contractor or other responsible party.

  • Take ownership of identified bin store issues and follow them through to resolution, including following up with contractors or internal teams where required.

  • Monitor waste collections and report and follow up missed collections, overflowing bins, excessive waste or other problems affecting the safe and effective use of the bin stores.

  • Monitor resident use of bin stores and identify instances of misuse, inappropriate disposal or fly\-tipping where reasonably possible.

  • Take appropriate action in relation to resident misuse in accordance with company procedures, including issuing warnings, notices or tenant charges/fines where appropriate and authorised.

  • Maintain appropriate records of daily checks, identified issues and actions taken.

  • Escalate persistent, serious or unresolved waste\-management issues to the Property Manager.

  • Work proactively with colleagues, contractors and residents to ensure bin stores remain clean, safe, accessible and appropriately managed.
The Assistant Property Manager is not ordinarily expected to undertake specialist or substantive cleaning of bin stores personally; however, they are responsible for monitoring their condition, identifying when action is required, arranging or escalating the appropriate response and following the matter through to satisfactory completion.

Rent, Payments \& Financial Administration

  • Process payments accurately and in accordance with company procedures.

  • Assist with the monitoring and collection of outstanding rent and other monies due.

  • Maintain accurate records of payment and debt\-related activity.

  • Communicate professionally with residents regarding outstanding balances.

  • Support the Property Manager in monitoring site expenditure and operating within agreed budgets and financial controls.
Keys, Access \& Security
  • Maintain accurate and secure control of property keys and access devices.

  • Assist residents with lock\-outs and access issues in accordance with company procedures.

  • Report security, access or safeguarding concerns promptly to the appropriate manager.

  • Ensure keys, access information and resident data are handled securely and confidentially.
Administration \& Operational Support
  • Provide day\-to\-day administrative support to the Property Manager and wider team.

  • Maintain accurate and up\-to\-date spreadsheets, trackers, property systems and records.

  • Ensure information is entered accurately and saved in the appropriate company systems and locations.

  • Monitor relevant office and operational supplies and report requirements as necessary.

  • Prioritise workload effectively and ensure allocated tasks are completed within agreed timescales.

  • Take responsibility for following through tasks rather than relying on repeated management intervention.

  • Participate positively in team meetings, handovers and operational discussions.

  • Provide reasonable support across other Urban Sleep developments when operationally required.
GENERAL RESPONSIBILITIES

SKILLS, EXPERIENCE \& ATTRIBUTES

The successful candidate should demonstrate:

  • Strong customer service skills and a professional, resident\-focused approach.

  • Good working knowledge of Microsoft Excel, Word and Outlook and confidence using computer\-based systems.

  • The ability to learn and confidently use property management, booking and other business software.

  • Excellent verbal and written communication skills.

  • Good administrative skills with strong attention to detail and accuracy.

  • The ability to organise and prioritise a varied workload.

  • Reliability and the ability to work consistently with appropriate levels of supervision.

  • A proactive approach and willingness to take ownership of tasks and see them through to completion.
