Main duties
· Operational oversight and tactical leadership of day\-to\-day Estates and facilities Operations at Harwell. Able to act as trusted Deputy to the Estates \& Facilities Manager in her absence.
· Own stakeholder relationships at Operational level. Meet business units and Tenants translating their needs into deliverables
· Run site inductions, contractor reviews, validate RAMS, site audits, enforce KPI’s/SLAS’S, escalate non\-conformance, scope and manage minor works.
· Deliver Helpdesk function on site. Provision of helpdesk reporting and statistics against KPI’S/SLA’s. Management of planned maintenance program between off site Q3 engineers, contractors and Occupants.
· Compliance accountability and provision of H\&S control measures across all contractors and their activities.
· Ensure Fire strategy and accessibility are always maintained taking the appropriate action where necessary. First aid strategy is in place and appropriate provisions are stocked
· Utilise the CAFM system to manage work order and subsequent purchase orders.
· Order and maintain stock in relation to the facilities management service provision including consumables ordering
· Oversee contractors to make sure work is delivered safely to a good standard.
· Perform all and any administrative or operational duties support of the contract whether contract or SAC related
· Capability and knowledge to cover at site or remotely between Westcott and Harwell to mange sickness, holidays and events as necessary.
· Full time on site presence
· Act as a conduit between both the onsite FM team and external provider.
Person Specification
· Strong knowledge of Facilities Management and relevant legislation.
· Good relationship skills with the ability to manage and maintain relationships at all levels on an on\-going basis.
· Experience working with a CAFM package.
· Ability to think from the point of view of an end user, customer, and operation.
· Good administration skills while understanding the importance of accurate and timely data and the ability to multi task.
· Maintain confidentiality in all aspects of client and staff information.
· Excellent time management skills
· A drive to deliver excellent customer service.
· A working knowledge of Microsoft Suite (Word, Excel, Powerpoint)
Robust understanding of information security and areas such as GDPR
Health, Safety, Environmental and Quality
· To take reasonable care for the health \& safety of yourself and of other persons who may be affected by your acts or omissions at work.
· Have a “Don’t Walk by” approach to health and Safety.
· To co\-operate with the Company so far as is necessary to enable the Company to always comply fully and with its legal duties regarding health, safety and welfare matters.
· To familiarise yourself with the Company’s Health, Safety, Environmental and Quality Policies and to comply fully at all times with the Company’s health \& safety, welfare, fire arrangements, in line with ISO:45001, ISO:14001, and ISO:9001 requirements.
· To report immediately all accidents involving injuries and illness verbally to your immediate superior and a First Aider and make or have made on your behalf, an entry in the Company’s Accident Book.
· Never to interfere with or misuse anything provided in the interest of health, safety or welfare.
· Never to use any machinery, work equipment, dangerous substance, transport equipment, system of work or safety device unless you have been authorised to do so and then only in accordance with any training received by you and any instructions provided to you.
· Never to perform work you are not qualified to do or have not been properly trained for.
· To inform the Company immediately of any work situation which you reasonably consider represents a serious and immediate danger to health \& safety or represents a shortcoming in the Company’s arrangements for health \& safety.
· To report to the Company any medical condition you have and any medication you are taking which could affect the safety of yourself or others.
· To seek medical treatment for all injuries you sustain (no matter how slight they may appear).
· If required, to co\-operate fully and promptly with any accident investigation carried out by the Company.
This is a site\-based role, predominately based at Harwell with a requirement to travel to Westcott as and when required.
Pay: £35,000\.00\-£40,000\.00 per year
