ASSISTANT EVENTS MANAGER JOB DESCRIPTION

Events Manager’s role is diverse and requires effective multi\-tasking as you will be involved in every stage and process of an event, ensuring that it comes out successfully. Our goal is to provide seamless experience for the clients planning their wedding day or any other event.

We are looking for Events Manager, who shares our love for food and people. You will be involved in many of the logistics related to scheduling and running an event. You will be in direct contact with clients, offering guidance and support: from the initial contact, choice of menus, through various stages of planning to the day itself. You will also work closely with company directors to ensure that all information regarding financial details and staffing levels is constantly monitored and updated. We will also be expecting you to be hands on whenever necessary and to always lead by example.

While the role does involve working under significant pressure, it is very rewarding and can bring a lot of job satisfaction.

Requirements:

Driving license

Experience in the role of Event Management and Hospitality

Experience in administrative tasks (Dropbox, Excel, Outlook)

Health and Safety standards

Background in Bar sales

The duties will entail:

Prior to event:

Plan and execute weddings, maintaining dialogue between couples and Season Catering

Ensure that the cost of an event is well within the budget agreed with a client and Season Catering

Order cater\-hire equipment when necessary

Help couples in creating a comprehensive timeline and floor plans

Complete a final checkup on the venues for the ceremony and reception

Address any overlooked details

Coordinate all operations by communicating with clients, Season Catering chefs and front of house team members

Perform HR duties: interview and hire personnel for service and cleaning adhering to Company’s HR protocols

Train team members on the proper procedures for an event and inform them on timings

Ensure the kitchen equipment and caterhire levels are adequate

During event:

Liaise with the client, venue staff, band/DJ and coordinate Kitchen and Front of House staff

Coordinate the service of food and drinks and communicate any changes in timings to all teams

Ensure impressive and excellent customer service and quality delivery

Ensure event is completed smoothly and step up to resolve any problems that might occur. After dealing with the complaint, report the situation to the employer

Assign different tasks to team members and ensure they are handled creditably

Supervise all staff

Provide leadership and motivation in order to ensure synergy throughout the period of an event

Make sure all staff members lodge the hours they worked on our system

Ensure that health and safety measures are put into practice

After event:

Ensure the equipment / cater\-hire inventories are closed accurately and keep an eye on stock levels (ordering disposable napkins, plates as well as sugar and coffee when necessary)

Report to the Employer when stock goes missing or equipment is faulty

Ensure all staff have lodged their hours correctly

Follow up with the client to make sure they were happy with their wedding

Make sure online presence is maintained by updating social networks (Facebook, Instagram)

Oversee the budget: conduct analysis before and after each event, paying attention to staff wages.

As outside wedding catering cannot guarantee steady hours throughout the year, we will ask that you perform supplementary duties such as:

Filling in for the Events Manager at Season Quayside when they are on holiday

Assisting and running events at Season Quayside when such need arises

Assisting in the kitchen only when essential

Acting as a chef only when essential

Job Schedule

You will be required to work 48 hours per week, which will include 30 mins paid breaks.

Location varies but most frequently we work with Cardney Estate, near Dunkeld, and the Byre at Inchyra, near Perth, as well as our own venue in Leith, Season Quayside
