Job description and responsibilities:
- Reporting \- generate and prepare various reports.
- Invoicing – process incoming invoices and prepare the submission of outgoing invoices.
- Database management \- maintain and update databases and records to ensure accuracy and completeness; implement data quality control measures to uphold data integrity.
- Meeting and event coordination – arrange and schedule meetings, ensuring all logistical requirements are met, and coordinate catering for meetings and events.
- Logistics coordination – make accommodation and transportation bookings; organise and coordinate Continuing Professional Development (CPD) sessions.
- Office equipment maintenance – oversee the maintenance and proper functioning of office equipment, and coordinate with external vendors for repairs and servicing.
- IT support – assist with setting up new laptops and workstations; troubleshoot and address basic IT\-related issues in collaboration with the IT department.
- Customer service – address and respond to enquiries; manage incoming mail and distribute accordingly.
- Compliance – assist with the preparation of submissions for maintenance of various certifications.
- Other activities necessary for the smooth running and development of the business.
- This is an office\-based (M3 5BQ) job from Monday to Wednesday, with the possibility of working from home on Thursdays and Fridays.
- Proven experience in office administration or a related field.
- Excellent attention to detail and accuracy.
- Strong organizational and multitasking skills.
- Proficient in Microsoft Office Suite, Google Suite and database management.
- Exceptional communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Ability to maintain confidentiality and handle sensitive information with discretion.
