Administrative Assistant

Location: Lisbon/Sintra, Portugal

We are a Portuguese company operating internationally in the fields of international engineering and industrial projects. As our business continues to grow, we are seeking a highly organized, proactive, and detail\-oriented Administrative Assistant to support management and coordinate administrative activities across multiple international projects and business operations.

Key Responsibilities

  • Manage calendars, schedules, appointments, and business meetings.

  • Coordinate internal and external meetings, including preparation of agendas, meeting minutes, and follow\-up actions.

  • Organize business travel arrangements, including flights, accommodation, visas, and itineraries.

  • Manage correspondence, emails, phone calls, and communication with clients, suppliers, and partners.

  • Prepare, review, and maintain company documents, reports, presentations, and records.

  • Support management in administrative, commercial, and operational activities.

  • Coordinate with international clients, suppliers, and service providers.

  • Maintain filing systems and ensure proper document control.

  • Assist with procurement, logistics, invoicing, and administrative processes.

  • Track deadlines and ensure timely completion of tasks and follow\-ups.

  • Support special projects and handle confidential information with professionalism.
Qualifications \& Requirements
  • Bachelor's degree in Business Administration, Management, Economics, Engineering, Languages, or a related field.

  • Minimum 2 years of experience in an Administrative Assistant, Executive Assistant, Office Coordinator, or similar role.

  • Fluent English (written and spoken) is mandatory.

  • Portuguese proficiency is required.

  • Excellent command of Microsoft Office (Excel, Word, Outlook, PowerPoint).

  • Strong organizational and multitasking skills.

  • Ability to prioritize tasks and work effectively under pressure.

  • Excellent communication and interpersonal skills.

  • Strong attention to detail and problem\-solving abilities.

  • Professional appearance and conduct.

  • Ability to work independently while maintaining effective collaboration with the team.

  • Experience working in international business environments is highly valued.

  • Knowledge of international trade documentation, procurement processes, or ERP systems will be considered a strong advantage.
