About the Office

The Joint Mission Management (JMM) office supports two U.S. Missions in France (the U.S. Mission to France \& the U.S. Mission to the O.E.C.D.), serving nearly 1,200 employees across five constituent posts and numerous additional sites and offices.

Position Overview

The Administrative Assistant serves as the principal advisor and Aide\-de\-Camp to the Mission France and USOECD Management Minister\-Counselor (MC) and to the Management Officer. He/she operates under the general oversight of the Management Officer.

In this role, the incumbent:

  • Performs the full range of logistical, administrative, and oversight functions required to support the supervisors' work and responsibilities,

  • Provides comprehensive work plan guidance and coordination across a section of 44 American staff and 219 Locally Employed (LE) Staff,

  • Serves as a key point of coordination between leadership and section staff to ensure efficient operations.

  • Some of these duties are performed in the Control Access Area (CAA) environments.

  • A bachelor's degree in business administration, Communications, International Affairs, Political Affairs, Organizational Management is required.

Job knowledge:

  • Strong knowledge of French and American diplomatic protocol. Solid understanding of senior\-level ministers and officials in the French Government, including the Ministry of Foreign Affairs (MFA).

  • Demonstrated cultural sensitivity and discretion when interacting with foreign officials and visiting delegations.

  • Excellent understanding of the requirements for supporting high level delegations and visits, and large representation events.

Skills And Abilities:

  • Excellent typing skills required. Excellent editing, drafting, and typing skills in both French and English, for cables, memorandums, diplomatic notes and official letters.

  • Well\-developed organizational skills, with ability to manage multiple priorities effectively and remain calm under stress.

  • Strong negotiator, able to diffuse tense situations.

  • Must be an independent problem\-solver who can quickly adjust to changing conditions.

  • Proficiency in standard office software (e.g., Microsoft Office Suite) and Department\-specific platforms.

  • Excellent interpersonal skills, with a demonstrated ability to build and maintain effective working relationships across offices and all levels of leadership.

  • Strong sense of initiative and professionalism, with the flexibility to take on new challenges and responsibilities as they arise.

  • SALARY: the annual gross salary includes: the profit\-sharing allowance, the vacation allowance, the bonus allowance and the “Comité d’Entreprise” allowance.

  • MEAL TICKETS: Meal tickets have a face value of EUR 8\.25/day. 60% of the daily amount is paid by the U.S. Government. An employee contribution of EUR 3\.30 per ticket will be deducted in payroll. The number of meal tickets is limited to 202 workdays per year.

  • TRANSPORTATION: Employees are eligible for a reimbursement of 50% of the cost of public transportation passes purchased for commuting purposes.

  • HOLIDAYS: The U.S. Missions in France observe eleven U.S. holidays per year and up to ten French holidays.
