Europia has a vacancy for an Administrative Assistant

  • 21 \- 35 hours per week (3–5 days, based on the candidate's needs).

  • Office based, with some flexibility for home working subject to operational needs

  • £25,119 per annum FTE, rising to £26,421 following successful completion of probation (pro rata for part\-time hours)
We’re looking for an organised, reliable and proactive Administrative Assistant to support Europia’s day\-to\-day operations.

This is a varied and hands\-on role that combines general administration with support for projects, events and community activities. You will maintain records and internal systems, coordinate meetings and calendars, prepare meeting papers, take minutes and help ensure agreed actions are followed up.

Working under the direction of the Operations Manager and relevant staff leads, you will also provide basic administrative support across HR, volunteering, finance, fundraising and communications.

You will assist with arrangements for funded projects, workshops, outreach activities and community events. This may include coordinating venues, participant registrations, attendance records, materials, schedules and communications with participants, volunteers and external partners.

This is a developmental role offering the opportunity to build broad administrative experience within a small and growing charity. You will work closely with colleagues across the organisation while contributing ideas to improve our systems and ways of working.

The role will suit someone who:

  • Has experience completing administrative tasks through employment, volunteering, education or a community setting.

  • Has strong organisational skills and can manage a varied workload and multiple deadlines.

  • Can maintain accurate records, spreadsheets, databases and internal trackers.

  • Has good written and spoken English and can produce clear, professional emails, records and meeting notes.

  • Is confident using Microsoft Office or Google Workspace, particularly spreadsheets for tracking and monitoring.

  • Can organise calendars, appointments, meetings, room bookings and administrative deadlines.

  • Has excellent attention to detail and understands the importance of confidentiality and data protection.

  • Communicates effectively and respectfully with people from different backgrounds.

  • Is self\-motivated, reliable and able to follow through on agreed actions while seeking guidance when needed.

  • Can remain calm, flexible and solutions\-focused when priorities change.

  • Is interested in supporting community projects, events and outreach activities.

  • Shares our commitment to equality, inclusion and empowering diverse communities.
Experience of supporting projects, events, community activities, grant\-funded work or monitoring and evaluation would be welcomed but is not essential. The ability to speak a Central or Eastern European language would also be an advantage.
