The Role
The post holder will be responsible and accountable for the development and provision of the administrative services in HMP Shotts. They will facilitate the delivery of effective patient care by implementing NHS systems and audit/monitor work of the administration team locally. The post holder will also act as personal assistant to the Health Care Manager and to support the work of the Prison Health Care Administration Manager for HMP Shotts.
The post holder will maintain effective support to all staff, management and clinicians within HMP Shotts. The role includes ensuring the production of a rotas, setting objectives and training via KSF and PDP for the effective delivery of administration support in HMP Shotts.
The working pattern for this role is Monday/Tuesday (8am \- 4pm), Wednesday (8am \- 3pm), Thursday (8am \- 3\.30pm) and Friday (8am \- 4pm)
In this key role, you will:
- The post holder will report to the Assistant Operational Services Manager for HMP Shotts. The post holder will manage an administration team in HMP Shotts and be accountable for the development and provision of administrative services in HMP Shotts. They will facilitate the delivery of effective patient care by implementing NHS systems and audit/monitor work of the administration team locally.
- The post holder will maintain effective leadership and support to all administration staff. They will also support health care managers and clinicians within HMP Shotts. The role includes ensuring the production of a rotas, setting objectives and training via Turas PDP for the effective delivery of administration support in HMP Shotts.
- Ensure the provision of an effective and efficient administration service and ensuring adherence to Once for Scotland policies and procedures and local protocols. This includes regularly reviewing and updating data as appropriate and identifying any remedial action through non\-compliance.
- Take the lead to resolve day\-to\-day issues relating to the operational administrative management in a very busy setting. To liaise with Estates Department, Hotel Services, Health \& Safety and outside contractors as required to ensure the smooth running of operations and to set out contingency plans for all aspects of operations.
- HNC in Business Administration and/Information Technology, or equivalent, or equivalent relevant experience demonstrating an ability to operate at that level.
- Experience in the management/supervision of staff within a large multi\-function service.
- Knowledge of General Practice Administration.
- An understanding of financial systems and proven experience in budget monitoring/management and data collection.
