Job Overview
We are seeking an experienced and highly organised Referrals \& Medico‑Legal Administration Team Lead to join our friendly GP practice. This is a senior administrative role with responsibility for overseeing referral pathways, medico‑legal processes, and providing day‑to‑day leadership to the administrative team.

Responsibilities
1\. Referral Management (Lead Responsibility)
Operational Delivery
- Lead on the end‑to‑end processing of all referrals, including:
- Standard referrals via eRS (eReferrals System) and Accumail
- Rapid Suspected Cancer Referrals
- Advice \& Guidance via eRS, Cinapsis, and Accumail
- Ensure referrals are:
- Submitted accurately and promptly
- Appropriately coded and attached
- Compliant with local and national referral pathways
- Take overall responsibility for managing and monitoring eRS worklists, including:
- Rejected / Triage worklists
- “Letter Outstanding” worklists
- “Awaiting Booking” worklists
- Advice \& Guidance worklists
- Returned / Cancelled / DNA worklists
- Navigate the Directory of Services to support accurate referral selection
- Carry out patient searches and troubleshoot referral issues
- Oversee all aspects of Suspected Cancer referrals, including:
- Issuing safety net letters
- Creating and monitoring scheduled tasks
- Chasing clinic outcomes and letters
- Escalate delays or missing information appropriately to clinicians and management
- Act as the administrative lead for medico‑legal work, ensuring compliance with:
- GDPR
- Information Governance standards
- NHS medico‑legal guidance
- Oversee and process requests including:
- Power of Attorney documentation
- Consent to share information
- Proxy access
- Subject Access Requests (supporting role, where applicable) ??
- Private Medical Reports using IGPR software
- Manage Lloyd George Notes and PCSE records: Ordering, sending, receiving, and returning patient notes
- Liaison with PCSE and Restore
- Provide I.T. Support for the whole practice team include User account management
- Perform administrative and clerical duties linked to patient clinical needs as required e.g. open post, book ambulances, liaise with hospitals, obtain clinical test results, patient registrations, retrieve and re\-file records etc
- Accurately scan, code and record clinical information in patients medical records
- Administrative support where relevant to documents scanned including filing and management of work flowed items
- Maintain survelliance of all incoming electronic forms of communication including email, eLite, Anima and process as per protocol
- Assist Practice team with all reasonable requirements
- Administrative support may include specific blocks of work or individual tasks e.g. filing / photocopying / troubleshooting I.T. problems including hardware (printers), liaising with outside agencies etc
- Follow Practice protocols to ensure consistent and high quality care is provided to our patients
- Make appointments for specific clinics for patients, face to face and by telephone in accordance with Practice procedures for specific vasectomy, vaccination and baby clinics.
- Meet and greet patients and visitors to the Practice
- You will also be expected to carry out any reasonable duties which may be requested from time\-to\-time
Experience
· Extensive experience in GP practice administration
· Strong knowledge of NHS referral systems (eRS, Accumail, Advice \& Guidance)
· Experience managing complex workflows and deadlines
· Excellent attention to detail and organisational skills
· Confident leadership and communication skills
Desirable:
· Experience in a supervisory or team lead role
· Strong understanding of medico‑legal and information governance processes
· Experience auditing referral pathways
· Advanced SystmOne knowledge
