Apollo Language Centre (Dublin) is looking for an experienced Accommodation Manager to work for the Year\-Round School and Summer Centres.
ResponsibilitiesHost Family Relationship Management
- Manage and nurture relationships with the existing database of host families.
- Assist with the recruitment of new host families, perform reference checks, and ensure that they meet all necessary standards.
- Maintain trusting relationships with accommodation providers, customers (students, parents, group leaders), and colleagues.
- Coordinate with other departments to ensure smooth accommodation placement and support for students.
- Assign students to appropriate host families using the company’s custom booking system.
- Send confirmation letters, message reminders, and relevant pre\-arrival information to host families and students.
- Ensure all accommodation arrangements are in line with students’ needs and company standards.
- Handle incoming calls, messages, emails, and other communications, ensuring timely responses and effective communication with students, host families, parents, and group leaders.
- Address and resolve any student issues, problems, or complaints, ensuring optimum satisfaction and high levels of customer care.
- Generate and analyze reports to monitor and predict accommodation needs and trends.
- Create, maintain, and enter information into databases, ensuring accuracy and up\-to\-date records.
- Maintain accurate, organized, and confidential records and documentation for all accommodation\-related matters.
- Manage administrative duties within the Accommodation Department, including maintaining schedules, records, and documentation.
- Perform general office clerk duties and errands as needed to support the team.
- Ensure compliance with all internal procedures, legal requirements, and safeguarding protocols, particularly regarding the hosting of minors.
- Maintain confidentiality and the integrity of all accommodation\-related files.
- Liaise with other departments (e.g., Admissions, Operations) to ensure seamless coordination and service delivery.
- Assist with various projects and tasks as required by the company, including process improvements or the expansion of the host family network.
- Represent the Apollo brand in a positive manner at all times, upholding company values and providing a high level of customer service.
- Take care of the emergency phone as part of the on\-call rota shared among staff.
- Provide cover for receptionist lunch breaks as part of the staff rota.
- Attend weekly staff meetings, actively participating in team discussions and strategy meetings.
- During the summer programme, spend part of the working week based at Sutton Park School.
- Participate in weekend arrivals and departures during the summer period, typically involving two Sundays, with time off in lieu granted.
- Ensure that Apollo students have an unforgettable experience at the school, supporting both their academic and accommodation needs.
- Be flexible and adaptable, willing to take on duties outside of the core responsibilities to meet business needs.
Pay: €30,000\.00\-€40,000\.00 per year
